Position Summary

The Accounting Clerk plays a key role in a high-volume transactional environment, supporting multiple accounting functions including Accounts Payable, Accounts Receivable, Cost Accounting, Billing, and Payroll. Responsibilities include reconciling vendor accounts, performing three-way match and invoice posting, processing payroll hours, preparing reports, and conducting account reconciliations. This role requires the ability to calculate, post, and verify complex accounting data with minimal supervision and to partner effectively across internal departments and external vendors.


Responsibilities

Accounts Payable & Vendor Management

  • Ensure proper coding, approval, and documentation of invoices in accordance with company policy.

  • Accurately post invoices to ensure timely supplier payments per purchase order terms.

  • Reconcile supplier statements and accounts regularly.

  • Resolve discrepancies and issues with vendors and business partners promptly.

  • Prepare accounts payable reports and perform related reconciliations.

General Accounting & Month-End Support

  • Maintain compliance with Sarbanes-Oxley (SOX) controls.

  • Participate in month-end close activities, including preparing and correcting general ledger entries.

  • Support internal and external audit preparation, testing, and follow-up.

  • Prepare journal vouchers, progress billings, operating statements, and financial reports.

  • Post and balance journal entries and maintain accurate accounting records.

Payroll Processing

  • Process payroll hours accurately and ensure timely submission.

  • Compile payroll statistics and calculate deductions (e.g., Social Security, taxes, 401(k), garnishments).

  • Disburse payroll and ensure compliance with applicable state labor laws, including California where required.

Reporting & Administrative Duties

  • Type and maintain vouchers, invoices, statements, and reports.

  • Review the work of other accounting clerks and provide support when needed.

  • Investigate and correct questionable or inaccurate data.

  • Analyze and reconcile ledger accounts.

  • Interface with functional departments, management, vendors, and customers.

  • Perform other related or ad hoc tasks as assigned.

Qualifications

Required Skills & Experience

  • Strong customer service orientation with a collaborative, team-focused approach.

  • Advanced analytical and problem-solving skills.

  • Exceptional attention to detail with strong organizational abilities.

  • Excellent verbal and written communication skills.

  • Proficiency in Microsoft Outlook and Excel.

  • Prior computer and data entry experience required.

  • Ability to accurately input and calculate numerical data; proficiency operating a 10-key calculator by touch.

  • Working knowledge of basic accounting principles and relevant labor laws (including California labor and tax regulations where applicable).

  • Accurate typing skills (35 WPM may be required).

  • Minimum three years of accounting/payroll experience or demonstrated ability to perform listed responsibilities.

Preferred Education & Experience

  • 2- or 4-year degree in Accounting, Finance, or related field, or equivalent work experience.

  • Two years of college-level accounting coursework or related professional training preferred.

  • Experience in payroll processing, accounts payable, accounts receivable, or cost accounting.
