Summary
The Parts Specialist is responsible for sourcing, purchasing, receiving, and managing parts and materials to support Technicians and maintain efficient workflow. This role monitors work orders and project schedules to anticipate needs, control inventory levels, and manage tool inventory. The position also maintains strong vendor relationships, processes invoices and documentation accurately, and ensures compliance with safety and OSHA standards. Ideal candidates have experience in industrial or technical parts (preferably boiler systems), strong organizational skills, and proficiency in Microsoft Office and inventory management software.
Responsibilities
- Source, purchase, receive and process all parts and materials needed by the Technicians, as effectively and efficiently as possible to meet and exceed all company financial and organizational goals.
- Receive all parts and materials ordered or special ordered by the Parts Salesperson. Ship parts immediately or hold for will-call.
- Monitor the work orders, schedules, installations and projects in progress, anticipate Technician needs, and supply the needed parts proactively
- Keep the work flow at highest efficiency level to maximize Technician productivity, exceed customer expectations, and maximum profits.
- Stage, deliver, or manage the delivery of all Parts needed by the Technicians
- Establish and maintain inventory control; manage stock levels to maintain highest possible turnover, speed of parts availability, and profit goals.
- Conduct and maintain regular inventory and cycle counts
- Develop business relationships with vendor/supplier personnel that result in obtaining the highest level of Technician productivity.
- Process all paperwork as prompt, efficient and timely as possible, including: vendor invoices, vendor credit memos, receipts, work orders.
- Make sure parts storage facilities are maintained in an efficient, attractive, appropriate and safe manner
- Manage the Tool Inventory; servicing or replacing broken or damaged tools. Keep an adequate stock of disposable tools to keep Technicians productive.
- Complete all operations metrics and be ready to discuss them weekly and monthly, with the Service Coordinator
- Make field safety and OSHA compliance a priority. Support the safety program.
- Establish and maintain all necessary external (clients, suppliers and contractors) relationships, consistent with the objectives of the company.
- Make best use of work time to complete assignments within time constraints. Consistently demonstrate ability to establish and manage priorities.

Requirements
- Minimum two years of experience as an Industrial or Technical Parts Specialist or equivalent preferred.
- Minimum two years of experience in boiler maintenance or repair preferred.
- Proficient with Microsoft Office
- Proficient with Sage 100 Contractor, Davisware or equivalent a plus
- Education: Associates, Technical School or equivalent experience satisfactory. BA or BS a plus
- Ability to successfully pass a preemployment screening
- Ohio Boiler Operator License preferred but not required.
- Valid driver's license and ability to be insured by the company
