Our client is seeking a detail-oriented and proactive Accounting Specialist to support daily financial operations and help transition manual processes into more streamlined, digital workflows. This role is ideal for someone who thrives in organized environments, enjoys improving processes, and has strong Excel and QuickBooks skills.

The Accounting Specialist will support accounts payable, reconciliations, journal entries, and administrative accounting functions, while assisting with process improvements and ongoing system enhancements.

Key Responsibilities

  • Prepare and track bank deposits, including insurance, medical records, and miscellaneous payments (tracked in Excel)
  • Open and distribute incoming mail; track patient checks until full lockbox implementation
  • Process daily EFT deposits
  • Review invoices, billing statements, and supporting documentation for accuracy
  • Process vendor invoices and credits in accordance with payment terms
  • Maintain vendor files in QuickBooks, including W-9 collection for accurate 1099 reporting
  • Enter journal entries and assist with general ledger coding
  • Perform monthly bank and credit card reconciliations, including Amex transaction documentation
  • Prepare weekly check runs and process bill payments
  • Process patient refunds and reception co-pay payments (check and credit card)
  • Maintain accurate accounting records and documentation
  • Support month-end close activities, reporting, and special projects
  • Assist with payroll processing and employee expense reimbursements (limited payroll responsibilities initially
  • Provide general administrative support including filing, scanning, data entry, and supply ordering

Requirements:

  • Experience in accounts payable or general accounting

 

  • Strong proficiency in Excel (including pivot tables)

 

  • Experience working in QuickBooks

 

  • Detail-oriented with strong organizational skills

 

  • Comfortable working in a paper-based environment while helping transition to digital systems

 

  • Process-improvement mindset with the ability to identify inefficiencies

 

  • Associate’s degree in Accounting or related field preferred
