Executive Operations Coordinator
Location: Central Tucson
Employment Type: Full-Time/Contract (January 26th - September 30th)
Schedule: Monday - Friday, 8:00am - 5:00pm
Requirements: Bachelors Degree, Executive Assistant Experience
Position Overview
The Executive Operations Coordinator provides front desk coordination and high-level administrative support. This role serves as the primary point of contact for the administrative suite and provides direct executive support. The ideal candidate is highly organized, detail-oriented, and comfortable supporting senior leadership in a fast-paced higher education environment.
Key Responsibilities
- Serve as the first point of contact by managing phone calls, visitors, and departmental email
- Open and close the administrative office and maintain an organized, professional workspace.
- Manage office and meeting supplies, departmental mail, and service permit check-in/check-out.
- Assist with meetings and special events, including room coordination, catering, and event setup.
- Provide direct administrative support during peak periods, including calendar management, correspondence, travel coordination, and meeting preparation.
- Prepare reports, memos, presentations, and briefing materials.
- Perform other duties as assigned.
Qualifications
- Bachelor's degree or equivalent professional experience required.
- Prior experience supporting executive or senior leadership preferred.
- Experience in higher education, arts, museum, or academic settings strongly preferred.
- Proficiency with Microsoft Office (Outlook, Word, Excel, PowerPoint), Qualtrics, and Google Sheets.
- Strong organizational, time management, communication, and problem-solving skills.
- Ability to manage multiple priorities and work independently.
