Administrative Secretary – Job Description
Position Overview
The Administrative Secretary performs a wide range of secretarial and administrative duties in support of an assigned supervisor, manager, or senior staff member. This role ensures efficient office operations by managing documentation, coordinating communications, and providing general administrative support as needed.
Key Responsibilities
Administrative & Office Support

Perform standard office functions including creating, organizing, and maintaining alphabetical, numerical, and subject-based filing systems.

Screen and interview callers, providing proper referrals based on inquiry and need.

Arrange and coordinate meetings, conferences, and related logistics.

Receive, review, refer, and/or respond to mail and internal communications.
Document Preparation & Communication

Take and transcribe dictation when required.

Use personal computers and standard desktop software to compose reports, correspondence, and memorandums.

Review drafts and completed documents to ensure correct grammar, formatting, and policy alignment.

Answer questions related to office procedures, policies, and operations.
Support & Leadership

Provide guidance and direction to lower-level secretaries and clerical personnel as needed.

Assist senior staff members with administrative tasks, scheduling, and documentation management.
