Our client, a German-owned pharmaceutical machinery manufacturer, is hiring a billing administrator got their Towaco, NJ location. This is a permanent position with the possibility of working remote 1 day a week and onsite the other 4 days.

Summary
This position is responsible for assisting the Sales and Sales Engineering Departments. (S)he will process quotations, invoicing, sales orders and other requests. 1 remote day per week, (after training).

Essential Duties and Responsibilities

  • Administers customer invoicing and sourcing systems
  • Processes quotations, sales orders in SAP
  • Distributes quotations and order confirmations internally as well as externally
  • Assists Regional Sales Managers in maintaining and updating sales and customer records, and creates new Vendor accounts through SalesForce
  • Processes invoices and distributes to customers per customer requirements
  • Assists in the development of digital marketing content
  • Contact customers to obtain missing information
  • Generates and distributes shipping papers, internal work requests, and Return Material Authorization (RMA) numbers
  • Monitors data accuracy on customer purchase orders
  • Processes backorders from collective inbound shipments
  • Prepares, maintains and distributes reports out of SAP
  • Supports Regional Sales Managers and Project Managers during customer visits by organizing meeting rooms, catering service, and visitor badges
  • Assists Regional Sales Managers in maintaining and updating sales and customer records, and creates new Vendor accounts through SalesForce
  • Maintains and distributes open logs (e.g. Quotes)
  • Takes ownership for special projects assigned by Manager.

  • Strong communication, interpersonal, and customer service skills
  • Ability to work under minimal supervision
  • Ability to work individually, as well as in teams
  • Ability to maintain effective working relationships with co-workers, management and customers
  • Excellent organization and multi-tasking skills
  • Knowledge of Microsoft Office (Word, Excel, Outlook)
  • Knowledge of ERP System – SAP preferred

Education, Experience, & Special Requirements
Education: High School Diploma
Experience: Requires a minimum of 3 years of experience as Administrative Assistant
