Summary:
An industry leading manufacturing company in Troy, NY is looking for a new Executive Assistant. This is a 12-month contract position with the possibility of becoming permanent. This position will provide comprehensive administrative support to key figures on the Executive team, and serve as the primary contact for all office-related functions at the facility. This role ensures smooth daily operations, effective communication, and coordination of both leadership and departmental activities.
Location: Troy, NY
Hours: Monday-Friday 8:00-4:30pm
Compensation: $20 - $31/hr DOE
Key Responsibilities:
- Coordinate complex domestic and international travel for VP(s), including accommodations and transportation.
- Prepare, process, and manage expense reports in compliance with company policies.
- Support daily site operations and communication to ensure seamless workflow and organizational alignment.
- Maintain inventory and organization of office and leadership area supplies.
- Assist with coordination of site tours and audits, ensuring proper logistics and compliance.
- Act as the liaison for IT and facilities for large meetings, including conference room setup and technical arrangements.
- Maintain and update key distribution lists to support accurate and timely communication.
- Organize and support leadership and manager meetings, including scheduling, agenda creation, notetaking, and follow-ups.
- Coordinate offsite meetings and events, handling logistics such as venue booking, travel, and on-site needs.
