Position Summary:
The Parts and Sales Coordinator will handle incoming service phone calls to ensure customers receive a personal greeting and minimize voicemail reliance. This role involves directing calls to appropriate service technicians, application engineers, or education specialists, as necessary. The Admin Coordinator will follow up to ensure timely and accurate responses, providing support across multiple departments, including Service, Sales, Education, Application Engineering, and Manufacturing.

Essential Duties and Responsibilities:
  • Answer service phone calls and direct them to the appropriate service technician, Education Specialist, or Application Engineer for action and response.
  • Follow up on customer inquiries via phone, email, and CRM within expected timeframes.
  • Resolve credit card and payment issues with customers as required.
  • Process and invoice service quotes and orders, coordinating shipment details as needed.
  • Issue warranty orders and RMAs as necessary.
  • Follow up with customers and technicians on delinquent warranty invoices and RMAs.
  • Enter customer phone orders directly into the system as needed.
  • Assist in sales administrative activities as time permits.
  • Perform additional tasks as assigned by the Service Team Leader or designee.

Qualifications:
  • Strong oral, phone, and written communication skills.
  • Experience in customer service, sales, or order entry activities.
  • Experience with Winman order entry (preferred).
  • Ability to liaise effectively with various departments, customers, suppliers, and stakeholders.
  • Other duties as assigned.

Education:
  • To be determined.

Certificates, Licenses, and Registrations:
  • A valid driver’s license and a clean MVR record & BCI record are required.

Physical Demands:
  • Must be able to sit and work at a desk using a computer, telephone, and other office equipment for extended periods.
