Job Title: Lease Administrator
Reports To: Accounting Lease Supervisor
Department: Real Estate/Accounting
Position Summary
The Lease Administrator ensures all real estate lease terms and financial obligations are properly managed, documented, and executed in compliance with lease agreements. This role supports the real estate function by administering lease documentation, reviewing financial obligations, managing vendor data, and facilitating communication between landlords, tenants, and internal teams.
Key Responsibilities

Draft lease amendments, renewals, terminations, notices, and landlord/subtenant correspondence.

Interpret lease language to advise internal stakeholders on tenant rights and responsibilities.

Review, audit, and reconcile invoices, statements, and other lease-related documents.

Negotiate and resolve landlord disputes, expense reductions, and account reconciliations.

Process lease documents for execution and maintain lease data in CoStar.

Abstract leases and amendments to reflect rental obligations, payment terms, landlord changes, etc.

Maintain accurate vendor and landlord information in CoStar, including ownership changes and contact updates.

Handle requests for Certificates of Insurance (COIs), Subordination, Non-Disturbance Agreements (SNDAs), and Estoppels.

Prepare monthly rent charges, request payments, and process reconciliations and reimbursements on time.

Track accounts receivable activity for all subleases.

Generate and distribute real estate reports for leadership (e.g., payment activity, expense savings).

Support the Lease Supervisor in developing improved lease administration processes.

Perform other duties as assigned.
Qualifications
Required:
-
Bachelor's degree in Business, Accounting, Real Estate, or related field

3–5 years of experience in commercial real estate, lease administration, or as a paralegal

Strong understanding of lease terminology and document interpretation

Exceptional organization, attention to detail, and problem-solving abilities

Ability to work independently and manage multiple priorities

Proficiency in Microsoft Office (Excel, Word, Outlook)

Excellent verbal and written communication skills
Preferred:

Experience with CoStar and/or PeopleSoft

Strong negotiation and interpersonal skills

Team-oriented with ability to interact at all levels of the organization
