We are seeking a reliable, detail-oriented Bilingual Administrative Assistant to help manage compliance, enrollment, and documentation processes that support our students and staff.
The Administrative Assistant plays a vital role in maintaining the efficiency and compliance of our special education program. This position supports a range of administrative functions including managing student records, coordinating enrollment, and ensuring accurate data entry in the CPSE Portal. The ideal candidate is organized, deadline-driven, and able to handle sensitive information with professionalism.
Reception & Communication
- Greet and assist all visitors in a professional and courteous manner
- Answer, screen, and direct incoming phone calls and emails
- Maintain sign-in/out logs for visitors, students, and staff
- Distribute mail, messages, and deliveries to staff and students
- Ensure the reception area is tidy, welcoming, and stocked with materials
- Assist with communications such as newsletters, notices, and event reminders
- Handle emergency situations (e.g., student illness or injury) and follow protocols
- Provide clerical support including filing, data entry, photocopying, and scanning
- Schedule appointments and manage staff calendars
- Monitor student attendance and report absences as needed
- Perform other administrative duties as assigned by school leadership
- Finalize and assign IEPs to teachers and therapists
- Print and file IEPs and annual reviews; distribute accordingly
- Upload and manage electronic documentation such as progress reports
- Enter student mandates, upload prescriptions, and assign providers in the CPSE Portal
- Create and organize student folders by cohort and school year
- Archive and transfer prior-year folders to designated storage
- Send, track, and file enrollment packets and prescriptions
- Maintain accurate and organized electronic files for new and returning students
- Assist with onboarding tasks such as inputting staff information in system for time tracking
- Bilingual (Spanish) required.
- Preferred: one (1) year of administrative experience; however, we are willing to train the right candidate.
- Strong computer skills, especially in Microsoft Office and database systems
- Excellent organizational skills and attention to detail
- Ability to manage multiple deadlines and priorities in a fast-paced setting
- Prior experience in education or special education administration is a plus
- Familiarity with special education and CPSE portal is a plus, but not required – we are happy to train the right candidate
- $21.00-$23:00/hour, depending on experience
