Job Title: Administrative Operations Coordinator
Position Summary:
The Administrative Operations Coordinator will support daily, weekly, and monthly administrative and financial processes for plant operations. This role requires proficiency in Excel and JD Edwards (JDE), strong organizational skills, and the ability to work cross-functionally with operations and accounting teams.
Key Responsibilities:
Daily Tasks:

Create requisitions and process purchase orders (POs)

Collaborate with Plant Operations Manager to review jobs/orders and receive POs
-
Process invoices and review accounts payable reports (RNV, AVM, Open PO)
-
Maintain and update PO tracking spreadsheets
-
Provide lunch break coverage for weigh master
Weekly Tasks:
-
Attend Operations Meetings
-
Verify Venture billing and generate corresponding POs
-
Track recurring services and ensure timely invoicing from vendors
-
Enter miscellaneous invoices into LIMS for wire deliveries
Monthly Tasks:
-
Generate recurring POs (e.g., trailer rentals, pest control, office cleaning)

Prepare AP manual voucher spreadsheet for rental and baler charges
-
Audit service accounts for payments or accruals; update audit spreadsheets

Submit "Concern and Report It” forms and support month-end closing

Execute goods and service accruals, including WWiz scale ticket accruals
As Needed:

Set up new customers and vendors
-
Obtain vendor quotes for wire and other materials

Respond to vendor inquiries related to JDE and LIMS payments

Answer phones, perform filing, and address local IT issues
Cross-Training & Backup Duties:

Serve as backup for scale operations and weigh master functions

Assist with scale ticket closures and corrections
Required Skills:

Proficiency in Microsoft Excel

Experience with JD Edwards (JDE)

Strong organizational and communication skills

Ability to manage multiple responsibilities in a fast-paced environment
