Position Summary
The Accounts Payable & Receivable Specialist is responsible for managing the company's outgoing payments and incoming receivables, ensuring accuracy, timeliness, and strong financial oversight. This role supports both AP and basic AR functions and plays a key part in maintaining positive vendor and customer relationships, tracking company cash flow, and ensuring accurate financial records. This position also provides direct administrative and financial support to the CEO as needed.
Essential Duties and Responsibilities
The essential functions include, but are not limited to the following:
Accounts Payable

Review, verify, and process vendor invoices and employee expense reports in accordance with company policies.

Compile and process all employee expense reports using expense reporting software.

Maintain clear and consistent communication with vendors to resolve issues and build positive relationships.

Ensure all invoices are properly coded and approved prior to payment.

Prepare and process electronic payments (ACH, wires, checks).

Reconcile AP transactions and resolve discrepancies with vendors and internal departments.

Maintain vendor files including tax forms (e.g., W-9s) and certificates of insurance.

Assist with month-end closings, accruals, and reporting.

Support AP-related audits with documentation and reporting.
Accounts Receivable (Basic Duties)

Generate and issue customer invoices accurately and on time.

Monitor aging reports and follow up on outstanding payments.

Record and apply customer payments in the accounting system.

Respond to customer inquiries regarding billing or payment status.

Assist with maintaining AR records and documentation.
Administrative Support to CEO

Assist CEO with light financial reporting and ad-hoc data requests.

Support scheduling, communication, or documentation needs related to vendor and customer financial matters.

Prepare brief summaries or dashboards of AP/AR metrics for CEO review.
General Duties

Ensure timely closing of all AP/AR processes and compliance with internal deadlines.

Organize and maintain digital and paper files in a logical, easily accessible format.

Generate and update reports as requested by leadership.

Actively contribute to continuous improvement of accounting processes and internal controls.

Perform other job duties as assigned.

Minimum Qualifications (Knowledge, Skills, and Abilities)

High school diploma required; Associate degree or higher in Accounting or related field preferred.

2 years of AP and/or general accounting experience (some AR experience a plus).

Proficient in Microsoft Excel and ERP/accounting systems (IQMS, Concur, etc.).

Strong organizational skills with a high level of accuracy and attention to detail.

Excellent verbal and written communication skills.

Basic math skills including use of decimals, percentages, and financial formulas.

Ability to prioritize tasks, meet deadlines, and manage responsibilities from multiple stakeholders.

Self-motivated and able to work independently with minimal supervision.
