Position Summary:
The CA Administrative Assistant supports the Contract Administration process by serving as the liaison between contractors and operations personnel. This role ensures compliance with site contracting strategies and administrative requirements, assists with contractor management, and supports the Site and Facility Contract Administrators with various administrative and operational tasks.
Key Responsibilities:

Ensure contractor compliance with site contracting strategy and administrative requirements.

Support the preparation and mailing of contract packages.

Create and manage vendors, requisitions, and purchase orders.

Maintain and compile weekly contractor schedules with input from stakeholders.

Present recorded safety orientation to contractors.

Communicate with Site Services Group and resolve Web Cycle issues.

Verify services and process contractor invoicing.

Maintain documentation including timesheets, material tickets, and records of service (ROS).

Assist in resolving contractor claims and issues.

Track and report key metrics, cost savings, and contract changes.

Participate in contractor reviews, variance creation, and post-job evaluations.

Provide administrative support to Site and Facility Contract Administrators.
Minimum Qualifications:

High school diploma required; technical degree (2-year) preferred.

SAP experience required; experience with S2P, ISNetworld, and Concur is a plus.

Proficient in Microsoft Office Suite (Excel, Word, Outlook, Teams, SharePoint, OneDrive, FileShare).

Strong multitasking skills with the ability to prioritize and manage multiple assignments.

Effective oral and written communication skills; able to communicate with all organizational levels.

Demonstrated ability to collaborate with internal teams and external contractors.

Strong task planning and organizational abilities.
