Position Summary
The Administrative Assistant II (AA2) plays a critical role in supporting front desk operations and delivering exceptional customer service across all AZ departments. Reporting to the Support Services Manager, this position is responsible for coordinating administrative tasks, managing communications, and serving as a key point of contact for visitors, staff, and external partners.
Attendance and reliable transportation are required, as this role is essential to daily operations.
Key Responsibilities
- Manage front desk operations and provide administrative support across departments
- Monitor and respond to requests through a shared inbox
- Screen and direct visitors, customers, and vendors to appropriate personnel
- Serve as a point of contact for legal documents (garnishments, service of process, etc.)
- Answer internal and external calls, respond to inquiries, and resolve concerns
- Review and respond to voicemail messages daily
- Coordinate warrant distribution processes
- Receive, sort, scan, and distribute incoming mail and packages, including confidential documents
- Prepare and track outgoing mail and maintain daily correspondence logs
- Assist with administrative projects and provide support to staff and leadership as needed
- Support daily business operations and ensure efficient workflow
Qualifications
- 2–3 years of client-facing, front desk, or administrative experience
- Strong customer service and communication skills
- Experience managing shared inboxes and handling phone communications
- Proficient with data entry, documentation, and general office systems
- Highly organized with strong attention to detail
- Ability to multitask and prioritize in a fast-paced environment
- Reliable, professional, and team-oriented
