Legal Billing Coordinator (E-Billing Focus) – Hybrid | Uniondale, NY
A prestigious law firm in Nassau County, NY is seeking a highly skilled Legal Billing Coordinator with a strong focus on e-billing to join our Uniondale office. This hybrid role is ideal for a detail-oriented professional with deep expertise in legal billing systems and a thorough understanding of client billing compliance requirements.
Key Responsibilities
- Manage the full monthly billing cycle for assigned attorneys, ensuring complex invoices are prepared accurately and in compliance with client guidelines
- Review and process billing edits, write-offs, transfers, and time/expense adjustments; audit time entries for accuracy, rates, and presentation
- Generate and submit LEDES files using Aderant; troubleshoot e-billing issues, resolve rejections, and ensure successful submissions through client portals
- Interpret and maintain compliance with client billing guidelines, including implementing updates and ensuring proper system setup
- Collaborate with internal billing teams on timekeeper data, rates, budgets, and client-specific requirements; coordinate with e-billing vendors for system support and issue resolution
- Serve as a key point of contact for attorneys regarding invoice status, approvals, and payment delays; provide guidance on e-billing best practices
- Prepare and analyze billing and accounts receivable reports, including AR summaries, billing history, and aged WIP
- Partner with the Collections team to monitor AR, address e-bill rejections, manage deductions, and support appeals and discrepancy resolution
- Contribute to special projects and continuous process improvement initiatives
Qualifications
- Minimum of 3 years of legal e-billing experience, with strong knowledge of multiple e-billing platforms, client portals, and LEDES formats
- Experience with Aderant or Elite 3E strongly preferred
- Intermediate proficiency in Microsoft Excel and Word; strong analytical and problem-solving skills
- Comprehensive understanding of legal billing workflows, systems, and compliance standards
- Highly organized, self-motivated professional with the ability to manage competing priorities in a fast-paced environment
- Excellent communication, interpersonal, and time management skills
- Proven ability to build and maintain effective working relationships with attorneys, clients, vendors, and internal teams
