Accounting Clerk / HR Support
Location: Lake Mary, FL
Employment Type: Full-Time
Job Summary
We are seeking a detail-oriented Accounting Clerk with HR support experience to join our growing team. This dual-role position is responsible for supporting daily accounting operations such as accounts payable, invoicing, and ERP data entry, while also assisting the HR department with employee records, onboarding, and administrative HR tasks.
The ideal candidate will be highly organized, maintain strict confidentiality, and have strong experience working with ERP systems, accounting processes, and Microsoft Office.
Key Responsibilities
Accounting & Financial Support
- Process vendor invoices and accounts payable transactions in the ERP system.
- Match invoices to purchase orders and packing slips.
- Review and resolve invoice discrepancies.
- Code invoices, expense reports, and check requests with appropriate general ledger accounts.
- Process and issue vendor payments, including printing and mailing checks.
- Maintain AP files, vendor documentation, and payment records.
- Assist with monthly reporting and month-end closing, including AP aging reconciliation.
- Handle vendor communications regarding billing, payments, and account setup.
- Complete credit applications and request required vendor documentation (W-9 forms).
Data Entry & Operational Support
- Enter customer purchase orders into the Intuitive ERP system.
- Create job folders and initiate contract review processes for new orders.
- Update order information and maintain accurate records for customer order changes.
- Track order status and provide shipment documentation as needed.
- Assist with the creation of shop packets and work orders for production.
- Initiate customer quality alerts when required and maintain documentation logs.
- Provide proof of delivery and assist with resolving billing inquiries.
- Support Business Unit Manager with customer requests and operational reporting.
Human Resources Support
- Maintain employee personnel files and HR documentation with strict confidentiality.
- Assist with new hire onboarding, including orientation and paperwork preparation.
- Post job openings and help coordinate interview scheduling.
- Update employee information in the HRIS system, including compensation and personal data.
- Assist with benefits administration and HR record reconciliation.
Additional Responsibilities
- Provide backup support for front desk and phone coverage when needed.
- Assist with continuous improvement initiatives and departmental support tasks.
- Perform additional administrative duties as assigned.
Qualifications
- Associate's or Bachelor's degree in Accounting, Finance, Business Administration, or related field preferred.
- 2 years of experience in accounting, accounts payable, or bookkeeping.
- Experience supporting HR administrative functions is a plus.
- Experience working with ERP systems (Intuitive ERP preferred).
- Strong proficiency in Microsoft Office (Excel, Word, Outlook).
- Excellent attention to detail and organizational skills.
- Ability to handle confidential information with discretion.
- Strong communication and problem-solving abilities.
Preferred Skills
- Experience in manufacturing or industrial environments.
- Familiarity with accounts payable processes and vendor management.
- Experience with HRIS systems and employee onboarding processes.
