Administrative Assistant (Legal/Claims Support) – Hybrid Opportunity

Position Overview

We are seeking a highly organized and detail-oriented Administrative Assistant to support a fast-paced claims and legal support environment. This role involves heavy administrative coordination, communication with multiple parties, and managing case-related tasks across several systems.

Important: An extensive internal background check is required and may take up to one month to complete. Candidates must be comfortable with this process.


Key Responsibilities

Front Desk / Switchboard Duties

  • Operate multi-line phone system: answer, direct, and transfer calls
  • Greet and check in visitors
  • Take messages, provide information, and maintain records
  • Monitor alarms, handle emergency calls, and manage paging systems
  • Sort mail and provide general administrative and customer support

Administrative & Case Support

  • Coordinate and schedule consultative examinations (CE) for claimants
  • Locate medical providers and specialists based on claimant location
  • Prepare, print, assemble, and distribute CE packets (mail/fax)
  • Track and follow up on appointments, documentation, and pending items
  • Maintain accurate records using internal tracking systems

Communication & Coordination

  • Respond to inquiries from claimants, attorneys, medical providers, and vendors
  • Contact claimants regarding appointments, missing paperwork, or updates
  • Communicate with doctors, hospitals, and other sources for reports and authorizations
  • Provide basic claim status updates and assist adjudicators as directed

Case Support Functions

  • Assist with case development activities requiring analysis and judgment
  • Ensure daily assignments are completed and properly tracked

Qualifications

  • Legal education or related experience preferred
  • Strong computer skills (Microsoft Office and/or Google Suite)
  • Ability to multitask across multiple systems and platforms
  • Excellent organizational skills and attention to detail
  • Strong communication and customer service skills

Schedule & Work Environment

  • Fully onsite during training
  • Opportunity to transition to hybrid (1 day remote/week) after training
