Position Overview
We are seeking a highly organized and detail-oriented Administrative Assistant to support a fast-paced claims and legal support environment. This role involves heavy administrative coordination, communication with multiple parties, and managing case-related tasks across several systems.
Important: An extensive internal background check is required and may take up to one month to complete. Candidates must be comfortable with this process.
Key Responsibilities
Front Desk / Switchboard Duties
- Operate multi-line phone system: answer, direct, and transfer calls
- Greet and check in visitors
- Take messages, provide information, and maintain records
- Monitor alarms, handle emergency calls, and manage paging systems
- Sort mail and provide general administrative and customer support
Administrative & Case Support
- Coordinate and schedule consultative examinations (CE) for claimants
- Locate medical providers and specialists based on claimant location
- Prepare, print, assemble, and distribute CE packets (mail/fax)
- Track and follow up on appointments, documentation, and pending items
- Maintain accurate records using internal tracking systems
Communication & Coordination
- Respond to inquiries from claimants, attorneys, medical providers, and vendors
- Contact claimants regarding appointments, missing paperwork, or updates
- Communicate with doctors, hospitals, and other sources for reports and authorizations
- Provide basic claim status updates and assist adjudicators as directed
Case Support Functions
- Assist with case development activities requiring analysis and judgment
- Ensure daily assignments are completed and properly tracked
Qualifications
- Legal education or related experience preferred
- Strong computer skills (Microsoft Office and/or Google Suite)
- Ability to multitask across multiple systems and platforms
- Excellent organizational skills and attention to detail
- Strong communication and customer service skills
Schedule & Work Environment
- Fully onsite during training
- Opportunity to transition to hybrid (1 day remote/week) after training
