Office Support / Distribution Center Coordinator
Employment Type: Temp-to-Hire
Schedule:
- Monday – Friday | 7:30 AM – 4:30 PM (1-hour lunch)
- Occasional overtime on Saturdays based on shipment volume (flexibility required)
Work Environment:
- Primarily office-based with minimal time spent in the warehouse
- Manager prefers a no-touch process (site tours can be arranged if required)
Position Overview
We are seeking a detail-oriented Office Support / Distribution Coordinator to provide essential clerical and operational support within a Regional Distribution Center. This role requires strong organizational skills, attention to detail, and the ability to support multiple processes in a fast-paced logistics environment.
Cross-training is a key component of this role, and candidates must be open to learning and supporting various office functions.
Key Responsibilities
Clerical & Administrative Support
- Maintain logs, reports, and documentation to support shipping and receiving operations
- Ensure compliance with SOX controls and internal audit processes
- Support development and tracking of operational metrics to minimize errors
Inventory & Logistics Coordination
- Update and maintain database systems for inventory and shipment tracking
- Create and manage Bills of Lading (BOLs)
- Coordinate "will call orders, UPS, and LTL shipments
- Track inbound activity including arrival, duration, and departure
Customer Service & Communication
- Serve as a liaison between customers, employees, and logistics teams
- Respond to inquiries and resolve order or shipment-related issues
- Provide timely and professional support to internal and external stakeholders
Vendor & Freight Support
- Initiate and manage vendor or in-transit freight claims for damaged or incorrect shipments
- Investigate and resolve discrepancies in shipping documentation and serial numbers
- Assist with determining disposition of damaged goods
Safety & Compliance
- Coordinate safety training, documentation, and communication
- Ensure compliance with OSHA and corporate safety standards
Process Monitoring & Improvement
- Monitor and report non-conformance in SOPs, packaging, vendor data, and UPC issues
- Support continuous improvement efforts across distribution operations
- Participate in additional projects as assigned
Required Qualifications
- High school diploma or equivalent
- Minimum of 2 years of related experience (clerical, logistics, or distribution support)
- Strong understanding of customer service principles and processes
- Excellent verbal and written communication skills
- Proficiency in Microsoft Office (Excel, Word, PowerPoint)
- Experience with general office systems (e.g., FAX, EDI)
Preferred Qualifications
- Bachelor's degree (or equivalent experience)
- Experience in the HVAC or distribution industry
- Familiarity with SAP, including running queries

- This role requires strong attention to detail, organization, and the ability to multitask
- Flexibility for occasional overtime is important based on business needs
