Job Title: Payroll Tax Specialist

Position Overview
The Payroll Tax Specialist is responsible for managing all payroll tax activities across a large, multi-entity environment. This role ensures accurate and timely tax reporting, reconciliation, and compliance with federal, state, and local regulations. The ideal candidate brings deep expertise in payroll tax processes, strong analytical skills, and experience working within complex, multi-jurisdictional organizations.
Key Responsibilities

Manage all payroll tax activities, including:

Tax credits (application and monitoring)

Payroll tax account setup and maintenance

Funding and reconciliation across federal, state, and local jurisdictions

Oversee payroll tax reporting and filing for:

25 federal legal entities
-
250 state jurisdictions
-
75 local tax jurisdictions

Reconcile payroll tax activity to Payroll General Ledger (G/L) accounts
-
Produce reports and partner with internal stakeholders to review payroll tax data

Collaborate with third-party service providers to ensure accurate and timely tax data processing

Review pay schedules, generate standard/custom reports, and perform ad hoc queries

Lead quarterly and annual W-2 review processes, including:

W-2 reconciliation vs. final pay statements

Wage type (WT) mapping and validation

Serve as Subject Matter Expert (SME) for payroll tax processes and compliance
-
Perform weekly and monthly payroll tax reconciliations (including BlackLine)

Oversee tax support and administration, including compliance with evolving regulations (e.g., COVID-related tax legislation)

Support internal and external audits by providing accurate documentation and data

Ensure compliance with internal controls, SOX requirements, and company policies

Produce multi-jurisdictional monthly, quarterly, and annual tax reports

Stay current on federal, state, and local tax law changes and ensure proper system implementation

Maintain strict confidentiality, data privacy, and data security standards
Required Qualifications

Bachelor's degree in Finance, Accounting, or related field (preferred)

Minimum 10 years of payroll tax, accounting, auditing, or related experience in a large, multi-entity organization

Minimum 7 years of experience using payroll systems for data analysis, reporting, and troubleshooting

Strong understanding of payroll tax regulations across federal, state, and local jurisdictions

Advanced proficiency in Microsoft Excel

Strong analytical skills and high attention to detail

Ability to research, interpret, and apply complex tax laws and regulations

Proven ability to manage confidential information with integrity
Preferred Qualifications

Master of Science in Taxation (MST)

Experience in large, multinational organizations with multiple legal entities is highly preferred
