Front Desk & Administrative Assistant

Position Overview:
The primary purpose of this position is to serve as the organization’s initial point of contact, delivering professional reception services while ensuring accurate recordkeeping through high-volume data entry. This role balances public-facing hospitality with essential back-office administrative support.

Essential Functions:

40% Front Desk Operations Greet visitors; manage multi-line phone system; screen emails; handle incoming/outgoing mail and deliveries; maintain a professional reception environment.
35% Data Entry & Records Input client/vendor information; audit digital records for accuracy; scan and index physical documents; update accounts and add notations.
15% Administrative Support Schedule appointments and meeting rooms; assist with preparation of memos, invoices, and basic reports.
10% Safety & Compliance Maintain visitor logs; ensure adherence to office security protocols.

Knowledge, Skills, and Abilities (KSAs):

  • Technical Proficiency: Advanced Microsoft Office (Word, Excel, Outlook), Google Workspace, and experience with CRM or database systems.

  • Communication: Clear and professional verbal and written communication with diverse audiences.

  • Attention to Detail: High accuracy in data entry with minimal errors under tight deadlines.

  • Interpersonal Skills: Calm, welcoming demeanor in high-traffic environments.

Physical Requirements & Work Environment:

  • Primarily sedentary; occasional lifting of office supply boxes (up to 20 lbs).

  • Extensive computer use (~80% of workday).

  • Standard indoor office setting with moderate noise from foot traffic and phones.

Minimum Qualifications:

  • Education: High School Diploma or equivalent (Associate’s degree preferred).

  • Experience: 1–2 years in a receptionist or data-intensive administrative role
