Project Coordinator / Project Support Specialist
Position Overview
The Project Coordinator supports engineering and project management teams by ensuring accurate documentation, reporting, tracking, and coordination of project activities. This role plays a critical part in maintaining project visibility, supporting financial and operational reporting, and ensuring effective communication between internal teams and external stakeholders.
Key Responsibilities
Project Documentation & Tracking

Document meeting notes, action items, and ensure follow-through to completion.

Maintain project and program tracking tools, ensuring all new projects and major milestones are accurately recorded.

Ensure project plans are maintained and reflect current project status.
Reporting & KPI Monitoring

Compile and distribute regular project reports focusing on financial, product, and regional KPIs.

Provide customer-facing reporting to track and forecast project progress.

Support forecasting and performance tracking initiatives.
Administrative & Coordination Support

Support the Project Management team with administrative and coordination activities related to engineering project processes.

Generate and submit project documentation to clients, including:

Technical Submittals
-
Test Documents
-
Operations & Maintenance Manuals (O&M's)
-
Bills of Lading (BOLs)
-
Shipping Logs
-
Stakeholder & Cross-Functional Coordination
-
Liaise with internal and external stakeholders including:

Clients
-
Production
-
Logistics
-
Site Teams
-
Accounting
-

Coordinate site activities with field service and production teams to ensure timely and efficient product delivery.

Perform other duties as assigned.
Required Qualifications
-
5–7 years of experience in project management, manufacturing, or construction environments.

Advanced proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).

Experience with SharePoint and internet-based collaboration tools.

Strong organizational and prioritization skills.

Excellent written and verbal communication skills.

Strong customer service orientation.

Detail-oriented with strong analytical and interpersonal skills.

Ability to coordinate work effectively across multiple teams and stakeholders.
Preferred Qualifications
-
ERP and/or CRM system experience.

Experience with Smartsheet and/or Power BI.
-
Knowledge of construction, electrical, and mechanical contracting.

Familiarity with engineering and manufacturing processes.

Understanding of data center infrastructure and commissioning processes.
