Position Summary: We are seeking a highly organized and detail-oriented Administrative Project Coordinator to support a Project Management Office (PMO) responsible for delivering a large, multi-team technology initiative. In this role, you will help ensure project teams remain organized and aligned by coordinating meetings, maintaining documentation, tracking action items, and supporting communication across multiple internal teams and external partners.

The ideal candidate enjoys working in a fast-paced, deadline-driven environment and brings strong administrative and coordination skills to complex projects. You will work closely with project managers and program leadership to help keep initiatives on track while ensuring meetings, documentation, and task tracking remain organized and accessible.

Responsibilities

Project Coordination & Meeting Management

  • Coordinate and schedule meetings across multiple teams, including recurring weekly, bi-weekly, and monthly project sessions.
  • Manage complex calendar scheduling using Microsoft Outlook, ensuring appropriate stakeholders are included in each meeting.
  • Coordinate project workshops and working sessions involving internal teams, vendors, and external partners.
  • Assist with gathering participant availability and coordinating attendance for project workshops and meetings.
  • Prepare meeting agendas and assist project leaders with meeting logistics.

Documentation & Communication Support

  • Capture meeting notes and document key decisions, discussion points, and action items.
  • Prepare and distribute meeting summaries and documentation to project stakeholders.
  • Maintain organized documentation within SharePoint or similar document management platforms, including creating folders and uploading project files.
  • Support preparation of project documentation and materials using Microsoft Word.

Action Item Tracking & Project Organization

  • Track project action items and follow-ups to help ensure deliverables remain on schedule.
  • Assist project managers with monitoring open tasks and coordinating follow-ups with team members.
  • Maintain project contact lists and distribution groups using Microsoft Excel.
  • Support the organization and maintenance of project documentation repositories.

Workshop Support

  • Provide administrative support during project workshops and working sessions when required.
  • Document workshop outcomes, including attendance reports and meeting summaries.
  • Assist project leaders in ensuring workshop discussions and outcomes are properly recorded and communicated.

Requirements

Required Qualifications

  • 3 years of administrative support or project coordination experience
  • Demonstrated experience supporting project managers, PMO teams, or cross-functional initiatives
  • Advanced proficiency with the Microsoft Office Suite
    • Outlook: complex calendar management and meeting coordination
    • Excel: data organization, tracking lists, and intermediate formulas
    • Word: document formatting, templates, and meeting documentation
  • Experience using project management tools such as Smartsheet or similar platforms
  • Experience working with SharePoint or similar document/documentation repositories
  • Strong written and verbal communication skills
  • Excellent organizational skills with strong attention to detail
  • Ability to manage multiple priorities in a fast-paced environment

Preferred Qualifications

  • Associate's or Bachelor's degree (or equivalent work experience)
  • Experience supporting large cross-functional project teams
  • Exposure to project management or PMO environments
  • Familiarity with task tracking and coordination tools used in project delivery environments

Work Environment

  • Fast-paced, collaborative environment supporting a complex multi-team technology initiative.
  • Hybrid work arrangement with occasional onsite participation in scheduled workshops or working sessions.
  • Workshops are typically scheduled in advance and occur during standard business hours.
