Position Summary

The Administrative Assistant I provides intermediate-level administrative support and technical assistance to various departments under general supervision. This role supports daily office operations and performs clerical, data entry, and organizational tasks to ensure efficient departmental functioning.

This position requires strong attention to detail, basic computer proficiency, and effective organizational skills.


Key Responsibilities

  • Perform daily office functions including answering phones, handling faxes, copying, filing, mail distribution, and typing

  • Complete basic data entry assignments, including renaming and organizing digital files and filing physical documents

  • Order and distribute office supplies and other items (e.g., food, badges); maintain regular inventory of supplies

  • Coordinate department processes and maintain related documentation and records (may include audit support)

  • Prepare, monitor, and maintain files, reports, records, spreadsheets, invoices, and other documents

  • Provide administrative support as assigned

  • Perform analysis and review of assigned transactions, as needed

  • Maintain cleanliness and organization of conference rooms, reception areas, kitchens, and related equipment

  • Serve as department document control coordinator, if assigned

  • Complete special projects or tasks as directed by management


Experience

  • 0–3 years of administrative or clerical experience


Education

  • High School diploma or equivalent required


Required Skills

  • Ability to apply pre-established guidelines to administrative and data entry assignments

  • Working knowledge of Microsoft Office products, particularly Excel and Word

  • Strong organizational and time management skills

  • Ability to prioritize tasks and take initiative

  • Effective written and verbal communication skills

  • Basic mathematical skills

  • Ability to work independently and maintain professionalism

  • Strong attention to detail

  • Ability to multitask and perform under pressure

  • Dependable, punctual, and flexible

  • Ability to build and maintain professional relationships across all levels of the organization

  • Ability to lead scheduled safety meeting talks and complete required safety training modules

Work Conditions

  • Primarily office-based

  • May require work outside of normal business hours with minimal advance notice

  • May require local travel by car (up to 6% of the time), including daily trips to the local post office


Physical Requirements

  • Standing, walking, sitting, twisting, stooping, crouching, kneeling

  • Talking and hearing

  • Visual inspections and precise hand and finger movements

  • Lifting and/or carrying up to 10 lbs

  • Pushing and/or pulling up to 10 lbs

  • Climbing up to 2 feet

  • Ability to operate and drive assigned company vehicles at standard insurance rates

  • Valid state driver's license and proof of insurance required

  • Ability to perceive color differences

  • Ability to wear personal protective equipment (beards not permitted)

  • Ability to perform strenuous physical activity as required
