Executive Assistant
Location: Albany, NY, In-Person
Schedule: Full-Time, Exempt (37.5 hours/week)
Hours: Monday–Friday, 8:00 AM–4:00 PM
Starting Salary: $62,000


Position Overview
We are seeking a highly organized, proactive, and resourceful Executive Assistant to provide strategic and administrative support to the Executive Director. This critical role ensures seamless daily operations and effective coordination across the organization. The Executive Assistant serves as a trusted partner to senior leadership, exercising sound judgment, discretion, and professionalism in a fast-paced, mission-driven environment.

This position plays a key role in supporting organizational priorities, senior management initiatives, board relations, and task force committees. The ideal candidate thrives in dynamic settings, demonstrates exceptional communication skills, and embraces an “all hands-on-deck” approach.


Key Responsibilities
Executive & Administrative Support
  • Prepare and draft correspondence, reports, research briefs, presentations, and meeting materials, including highly sensitive and confidential information.
  • Edit and finalize communications on behalf of the Executive Director and committee leadership.
  • Develop press releases, articles, newsletters, and organizational updates.
  • Conduct research and compile data, tables, and charts to support informed decision-making.
  • Manage and maintain filing systems, documentation, and records.
Project & Committee Coordination
  • Track deadlines and project milestones; prepare agendas, take minutes, and follow up on action items.
  • Support senior management, task forces, and strategic initiatives led by the Executive Director.
  • Provide Board support as needed, including meeting coordination and minute-taking.
Event & Public Relations Support
  • Coordinate public relations activities and organizational events.
  • Plan and execute company events, board retreats, and committee meetings.
  • Manage logistics, vendor relationships, and contract procurement.
Office & Operational Support
  • Provide front desk coverage and general office support as needed.
  • Liaise with internal and external stakeholders, maintaining professional and cooperative relationships.

Minimum Qualifications
  • Bachelor’s degree in Human Services, Business Administration, or a related field.
  • Minimum of 5 years of experience as an Executive Assistant, preferably in fast-paced nonprofit environments.
  • Demonstrated ability to manage multiple priorities with strong follow-through and attention to detail.
  • Exceptional verbal and written communication skills.
  • Proven ability to handle confidential information with discretion and independent judgment.
  • Strong interpersonal skills and ability to work effectively with senior executives, board members, staff, and external partners.
  • Advanced proficiency in Microsoft Word, Excel, and PowerPoint.
