Payroll & Billing Operations Specialist
Position Summary
This role provides high-level back-office support to a diverse temporary staffing client base. The position requires exceptional attention to detail, strong analytical and critical-thinking skills, and technical proficiency. Responsibilities include accurate execution of payroll, billing, invoicing, and payroll funding processes, as well as resolving complex client inquiries related to these functions.
Key Responsibilities

Verify and validate payroll and billing data, identify discrepancies, investigate root causes, and ensure accurate processing

Respond to client inquiries in a timely, professional, and analytical manner, resolving payroll, billing, and funding-related issues

Complete new customer setup and data entry with a high level of accuracy

Maintain multiple interconnected customer databases, ensuring data integrity across payroll, billing, and funding systems

Update customer records and folders to reflect current payroll and billing instructions

Process credits and rebills accurately and efficiently

Advise clients on optimizing payroll and billing reporting workflows by identifying inefficiencies and recommending improvements

Deliver ongoing training and technical support, including system functionality explanations and issue troubleshooting

Transmit accounting and payment reports, including wires, ACH, and A/R credits/debits

Proactively identify risks, recurring issues, and process breakdowns; analyze root causes and escalate with recommended solutions

Education & Experience

Bachelor's degree in Accounting or a related field (preferred)

Consideration may be given to candidates with equivalent experience in lieu of a degree

Comparable work experience in payroll, billing, accounting, or financial operations (preferred)

Prior payroll processing experience (preferred)

Excellent organizational and time management skills

Strong written and verbal communication skills in a high-volume call and email environment

Strong understanding of accounting principles, including payroll, tax, A/P, A/R, and cash posting

Ability to interpret financial data and reconcile discrepancies across systems

Strong numerical aptitude and comfort working with large data sets

Meticulous attention to detail and accuracy, even under pressure

Ability to manage high-volume workloads without compromising quality

Exceptional critical-thinking and problem-solving skills with the ability to work independently

Strong technical aptitude with the ability to quickly learn payroll, billing, and funding platforms

Proficiency in Microsoft Office, including Excel
