As our Customer Service Coordinator, you'll be the first point of contact for customers — managing inquiries, supporting sales and estimating, and ensuring every request is handled promptly and accurately. What You'll Do:

  • Be the first point of contact for customers — handling incoming calls and emails with professionalism and urgency.

  • Partner closely with estimating and sales teams to gather information, prepare accurate responses, and support customer needs from start to finish.

  • Manage job status updates, screen calls, and ensure every request gets to the right team member quickly.

  • Process and respond to written customer requests for documentation, product information, and inventory updates — keeping customer files organized and up to date.

  • Review customer lists monthly, collaborating with sales and accounting to update new contacts or account changes in the system.

  • Keep communication flowing smoothly across departments by maintaining strong, consistent coordination with all sales personnel.

  • Follow all company policies and procedures, including safety and quality guidelines.

  • Record job details, customer commitments, and outcomes accurately in the computer system.

  • Assist with printing and sending quotes, and provide support to the sales and estimating teams whenever needed.

  • Jump in to help your teammates — flexibility and teamwork are key in this role!

Relationships:

  • Reports directly to the Executive Vice President.

  • Collaborates daily with estimating, sales, and accounting teams to meet customer needs quickly and efficiently.

  • Builds and maintains strong customer relationships to ensure satisfaction and long-term trust.

  • Works closely with the entire office team to create a positive, productive, and team-focused environment.

What You'll Bring:

  • Excellent written and verbal communication skills — you know how to make every customer feel valued.

  • Solid computer skills, including Microsoft Word and Excel; comfortable navigating and updating digital systems.

  • Strong organization and time management — you can juggle multiple priorities while keeping every detail in check.

  • A cooperative, upbeat attitude and a natural ability to build strong relationships with both customers and coworkers.

  • High school diploma or GED required; prior experience in customer service or office administration preferred (manufacturing experience a plus!).
