Job Summary
Nesco Resource is seeking a detail-oriented and independent Records Management Specialist to join our client’s team at the DDD Records Management Center in Phoenix, AZ. This warehouse-based role is critical to ensuring compliance with federal and state regulations, including HIPAA, Arizona Revised Statutes, and AHCCCS/DDD contract mandates. The ideal candidate will have at least one year of experience in records handling and data entry, with strong organizational skills and the ability to manage high volumes of medical records. Key Responsibilities
- Ensure all member medical records are accessible and retained in compliance with the Code of Federal Regulations, Arizona Revised Statutes, Arizona Administrative Code, HIPAA, and AHCCCS/DDD contract requirements.
- Organize, log, shelf, and maintain incoming files daily, conducting quality checks to meet retention schedule standards.
- Identify records for digitization, box files, scan, and digitize active and non-retained records according to established standards.
- Retrieve records in response to requests, track outgoing records, and reprocess them for quality control before proper storage.
- Assist with the approved destruction of paper records and support the Records Supervisor with special projects related to storage and maintenance.
- Perform general office duties, including filing, typing, operating office machines, and data entry using Google Suite.
- Maintain a clean and organized warehouse work area, adhering to safety and regulatory guidelines.
- Perform other duties as assigned.
Qualifications
- Education: High School Diploma or equivalent required.
- Experience: Minimum of one year of experience in records handling and data entry preferred.
- Skills:
- Proficient in organizing high volumes of records, workload management, and prioritizing tasks.
- Strong computer skills, specifically with Google Suite (Docs, Sheets, Drive).
- Ability to work independently and maintain positive working relationships with co-workers and departmental staff.
- Exceptional attention to detail and ability to follow specific work instructions.
- Knowledge of federal and state laws pertaining to record retention schedules and HIPAA requirements.
