Fleet Maintenance Coordinator


Work Schedule: Monday–Friday, 8:00 AM – 5:00 PM (occasional overtime for parts inventories)
Location: Onsite (Fleet Shop – tractors/trailers environment)

Position Overview

The Fleet Maintenance Coordinator supports the Delivery Transportation Team and Fleet Manager by handling daily operational and administrative tasks within a fleet shop environment. This role is responsible for coordinating repairs, ordering and receiving parts, managing inventory, and providing frontline support to both technicians and vendors. The Coordinator ensures smooth fleet operations by monitoring calls and emails, processing invoices, tracking expenses, and preparing reports.

Key Responsibilities

  • Greet visitors, answer calls, and route requests to appropriate parties.

  • Manage emergency road calls and coordinate repairs.

  • Order and receive parts from vendors; issue purchase orders and process receipts.

  • Maintain inventory control by updating records, shelving parts, and monitoring usage.

  • Track, process, and review invoices and expenses for accuracy.

  • Prepare reports and correspondence by gathering and summarizing fleet-related data.

  • Collaborate with fleet technicians and provide support for additional operational needs.

  • Support preventive maintenance scheduling and tracking.

Required Skills & Qualifications

  • Must-Have Technical Skills:

    • Basic fleet mechanics knowledge

    • Microsoft Office skills

    • Inventory control experience

  • Preferred Skills:

    • Strong understanding of fleet mechanics

    • Experience with inventory systems and Microsoft programs

    • Vendor and parts management

  • Soft Skills:

    • Strong communication and interpersonal abilities

    • Open-minded, adaptable, and team-oriented

    • Detail-oriented with strong organizational skills

  • Education: Minimum High School Diploma; Technical School certification preferred

  • Experience: Previous experience in automotive, equipment, or dealership industries highly desired

Additional Information

  • Interview Process: In-person (1–2 rounds, 2 interviewers)
