What You'll Do

As a Legal Administrative Assistant, you'll play a key role in supporting attorneys and ensuring cases run smoothly.
Responsibilities include:

  • Drafting, revising, formatting, and proofreading legal documents (discovery requests, pleadings, motions, correspondence, etc.)

  • Preparing filings for submission through NYSCEF and CM/ECF

  • Managing litigation calendars: tracking deadlines, filing dates, and reporting requirements

  • Assisting with trial preparation, including exhibit binders, logistics, and day-of courtroom support

  • Communicating with courts, clients, and opposing counsel to schedule, confirm, and coordinate case activity

  • Maintaining case charts and updating them with new developments

  • Processing invoices, expense reimbursements, and check requests

What We're Looking For

You'll thrive in this role if you bring:

  • 5 years of legal administrative assistant experience

  • Defense litigation background (required); Medical Malpractice experience preferred

  • Knowledge of state (NY & NJ) and federal court filing procedures, including e-filing

  • Bachelor's degree and Notary Public license (preferred but not required)

  • Strong written and verbal communication skills, with exceptional attention to detail in grammar, spelling, and formatting

  • Proficiency with Microsoft Office (Word, Excel, PowerPoint), including creating TOCs, TOAs, and using advanced formatting tools

  • Excellent multitasking, organizational, and time management abilities

  • A proactive, client-service mindset
