Position Overview

We are seeking a detail-oriented Documentation Specialist to create, maintain, and enhance internal documentation, including Standard Operating Procedures (SOPs), quick reference guides, and visual aids. This role is critical to standardizing processes, supporting operational efficiency, and driving productivity across the organization.


Key Responsibilities

  • Develop, write, and update clear, concise SOPs, quick reference guides, and visual documentation.

  • Collaborate with subject matter experts (SMEs) and operational teams to ensure documentation reflects current practices and compliance requirements.

  • Design visual aids, flowcharts, and diagrams to improve comprehension.

  • Ensure all documents adhere to company standards, branding, and regulatory requirements.

  • Organize and maintain a centralized repository with proper version control.

  • Conduct periodic reviews and updates to reflect process changes or user feedback.

  • Provide training and guidance on the effective use of documentation.

  • Identify opportunities to improve clarity, usability, and process efficiency.

  • Support process improvement initiatives by providing documentation expertise.


Qualifications

  • Bachelor's degree in English, Technical Communication, Business Administration, or related field (preferred).

  • Proven experience in technical writing, documentation, or a similar role, ideally in an operational or manufacturing environment.

  • Ability to translate complex processes into clear, user-friendly content.

  • Proficiency with documentation tools (Microsoft Office Suite, Adobe Acrobat, Visio); CMS experience is a plus.

  • Excellent written/verbal communication and organizational skills.

  • Strong attention to detail with the ability to manage multiple projects.

  • Familiarity with Quality Management Systems (QMS) and relevant regulatory standards (advantageous).

Work Environment
