About the Role:
We're looking for a proactive and detail-driven Part-Time Office Assistant to support our client’s aftermarket operations in Oceanside, NY. In this key support role, you'll be at the center of ensuring timely, accurate, and efficient handling of warranty claims, service events, and field part replacements.

You’ll work closely with internal teams and leadership to track service activities, support inventory movements, and help close out product returns. If you’re someone who enjoys keeping things organized, solving problems, and making sure customers are taken care of—this role is for you.

What You'll Be Doing:

  • Track warranty claims and service issues from start to finish

  • Collaborate with the Quality team to spot and escalate product trends

  • Maintain detailed logs of service activities and customer communications

  • Coordinate replacement units with our Ballston Spa warehouse

  • Forecast inventory needs and document stock movement in the ERP system

  • Help ensure field technicians have what they need, when they need it

  • Create regular updates on open/resolved issues, trends, and inventory use

  • Keep cross-functional teams aligned with clear, consistent reporting

  • Help wrap up RMA cases for products serviced on-site in Oceanside

  • Ensure accurate documentation and communication with the main RMA coordinator

  • Serve as a reliable point of contact for warranty-related updates

  • Provide professional and timely communication on service resolutions

  • Manage office supplies, mail, and general facility needs

  • Be a go-to team resource for smooth daily operations

What You'll Bring:

  • 2 years in warranty coordination, technical service, or administrative support

  • Comfortable working with ERP systems (SAP or similar) and Excel

  • Strong organizational and multitasking skills

  • Experience in a manufacturing, field service, or rail/transit setting is a plus

  • Able to work independently while being part of a supportive on-site team
