Job Title: Service Administrator

Position Summary:

The Service Administrator is responsible for coordinating service activities, dispatching technicians, and supporting parts and warranty processes within a high-volume service department. This role ensures efficient operations and promotes exceptional customer service through timely support, accurate record-keeping, and effective communication.


Key Responsibilities:

  • Promptly answer and manage service department calls; log and schedule maintenance service contract customers.

  • Dispatch and support Field Service Technicians for efficient and timely coverage.

  • Coordinate parts acquisition, warranty processing, and mail handling.

  • Maintain service contracts, startup documentation, and department records.

  • Generate and manage time and material quotes, service adjustments, and material requisitions.

  • Track and verify daily technician time entries and support reporting needs (monthly, quarterly, annually).

  • Provide copies of service and preventative maintenance reports and file relevant agreements.

  • Support departmental goals by analyzing workflows, suggesting improvements, and maintaining best practices in customer service.

  • Participate in emergency response efforts as required.

  • Perform additional administrative duties as needed.


Qualifications:

  • Associate's degree in Business or equivalent combination of education and experience.

  • Minimum of 2 years' experience in service coordination, dispatch, or administrative support.

  • Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Visio) and relevant ERP/CRM software (e.g., Microsoft Dynamics GP, WennSoft).

  • Strong problem-solving, organizational, and multitasking skills.

  • Excellent verbal and written communication with a customer-first mindset.

  • Ability to remain calm under pressure and handle multiple demands.

  • Strong interpersonal skills; team-oriented with a focus on collaboration and professionalism.


Physical & Mental Requirements:

  • Ability to sit for extended periods and perform repetitive motions.

  • Must be able to move or adjust objects up to 10 lbs.

  • Ability to effectively communicate in-person, by phone, and electronically.

  • Strong decision-making and critical-thinking skills in high-pressure situations.

  • Capacity to understand and comply with regulatory programs (e.g., OSHA, EPA, NFPA).


Additional Information:

  • Reports to: Operations Manager

  • Works independently and takes ownership of tasks with minimal supervision.

  • Exposure to confidential data (e.g., service reports, internal records, pricing).
