Position Summary:

The Trust Associate II provides administrative and client service support to assigned Trust Officer(s) in the day-to-day administration of fiduciary accounts. This role ensures timely and accurate account maintenance, supports client inquiries, and assists with trust documentation, billing, and compliance. The Associate also supports sales and client engagement efforts by helping plan meetings, prepare reports, and respond to client needs.


Key Responsibilities:

Trust Administration Support

  • Open, maintain, and close fiduciary accounts; coordinate with internal teams (Trust Operations, Tax, Real Estate).

  • Process cash receipts, bills, asset maintenance, and account disbursements.

  • Monitor daily overdrafts and uninvested cash; assist with cash forecasting in collaboration with Investment Officers.

  • Maintain accurate records and ensure confidentiality of account files.

  • Review trust agreements and related legal documentation for administrative accuracy.

  • Assist with fee maintenance and internal reporting.

  • Ensure compliance with policies, procedures, and regulatory guidelines.

Client Support

  • Act as a front-line client contact via phone; manage incoming calls and resolve service issues.

  • Research and resolve client inquiries or refer complex issues to the Trust Officer.

  • Assist in preparing presentations, meeting materials, and correspondence.

  • Maintain CE Desktop with client interactions and sales activity updates.

Sales & Relationship Support

  • Identify client needs and potential revenue opportunities.

  • Support Trust Officers with meeting scheduling and follow-up activities.

  • Build rapport with clients and serve as primary contact for selected accounts.


Qualifications:

  • High school diploma or equivalent required.

  • 1–3 years of relevant administrative, financial services, or trust experience.

  • Strong customer service, communication, organizational, and problem-solving skills.

  • Detail-oriented with the ability to multitask in a fast-paced environment.

  • Proficiency in Microsoft Office applications (Excel, Word, Outlook, etc.).

  • Prior experience in a trust or wealth management department is a plus.
