Technology Team – Support Coordinator

Location: Wilmington, MA (100% Onsite)

Schedule: Monday – Friday, 8:00 AM – 5:00 PM


Position Summary

The Technology Team Support Coordinator provides administrative and operational support to the Vice President of Technology and multiple technology leaders. This role is responsible for coordinating projects, scheduling, purchasing activities, vendor management, facility support, and day-to-day administrative operations.

The ideal candidate is highly organized, detail-oriented, and able to work independently while managing multiple priorities in a fast-paced environment.


Key Responsibilities

Executive & Team Support

  • Provide administrative support to the Vice President of Technology and multiple technology leaders.
  • Coordinate calendars, meetings, project activities, and team events.
  • Prepare presentations, reports, and communications.
  • Create and distribute meeting invitations.
  • Coordinate travel arrangements and logistics.
  • Support software requests, approvals, and procurement activities.
  • Assist with purchasing supplies, equipment, and project-related materials.
  • Collect, organize, and synthesize data for leadership as needed.

Vendor & Purchasing Support

  • Coordinate new vendor setup, including NDAs, Certificates of Insurance (COIs), and vendor onboarding.
  • Enter purchase requisitions for indirect purchases.
  • Follow up with vendors regarding orders and deliveries.
  • Process invoices and resolve invoice discrepancies.
  • Assist with blocked invoice resolution (CWS and MRBR).
  • Process goods receipts.
  • Coordinate purchase orders and vendor communications.

Facility Coordination

  • Serve as the onsite liaison for vendors and visitors.
  • Coordinate visitor access, badge requests, and onsite events.
  • Support shipping and receiving activities.
  • Act as the site security liaison.
  • Assist the remote Senior Facility Manager with daily facility operations.
  • Coordinate maintenance requests and service contracts.
  • Monitor and replenish office, kitchen, and restroom supplies.
  • Maintain common areas and overall workplace organization.
  • Support general shop floor and facility organization.
  • Lift and move materials weighing up to 35 pounds as needed.

Required Qualifications

  • High School Diploma or equivalent.
  • 2–4 years of office management, administrative support, or multi-functional administrative assistant experience.
  • Proficiency with:
    • Microsoft Excel (including Pivot Tables and graphs)
    • Microsoft Outlook
    • Microsoft Teams
    • Microsoft PowerPoint
  • Previous SAP experience.
  • Strong organizational and multitasking skills.
  • Ability to work independently with minimal supervision.
  • Excellent verbal and written communication skills.
  • Strong customer service and vendor relationship skills.
  • Accurate alphanumeric data entry skills.
  • Ability to proactively follow up on outstanding tasks and communicate status updates to stakeholders.
  • Ability to safely lift up to 35 pounds.

Preferred Qualifications

  • Associate's or Bachelor's degree in Business or a related field.
  • Purchasing or procurement experience.
  • Licensed Notary Public in Massachusetts (preferred but not required).
