Position Overview

The Specialist is responsible for performing basic operational, administrative, and transaction-processing activities by following established procedures. This position involves processing and organizing documentation, performing data entry, handling payment-related materials, and supporting various banking operations.

The Specialist will work within clearly defined procedures and escalate issues or concerns to the appropriate team member or supervisor when necessary.

Work Schedule & Location

  • Work Model: 100% On-site, 5 days per week
  • Employment Type: Part-time
  • Hours: Approximately 20–30 hours per week, depending on workload
  • Candidates will be required to complete on-site interviews
  • Candidates will complete sorting and data entry testing as part of the interview process

Key Responsibilities

Banking & Operational Processing

  • Support operational activities across areas that may include:
    • Credit cards
    • Retail banking
    • Small business banking
    • Consumer lending
    • Mortgage banking
    • Collections and recovery
    • Origination
    • Auto finance
  • Perform processing activities according to established procedures and instructions.
  • File, record, process, service, and organize documentation associated with assigned products or processes.
  • Review documentation and help ensure appropriate procedures are followed for routine activities.
  • Perform basic operational and administrative tasks assigned by management.
  • Follow clearly defined procedures to complete assigned work accurately and efficiently.
  • Escalate issues and concerns when appropriate.

Mail, Payment & Document Processing

  • Open incoming mail and extract paper invoices and checks.
  • Properly sort payment and non-payment documents for processing.
  • Accurately batch work for processing.
  • Communicate processing issues to the Workflow Coordinator or Supervisor.
  • Perform data entry and keying activities with a high degree of speed and accuracy.
  • Handle monetary and processing functions independently.
  • Process high transaction volumes while maintaining accuracy and meeting production goals.
  • Cross-train in critical department functions, including:
    • Mail sorting
    • Keying
    • Reassociation
    • Data entry

Customer & Administrative Support

  • Assist with routine billing inquiries, service requests, suggestions, and customer complaints as needed.
  • Prepare routine reports and documentation.
  • Navigate multiple computer systems and applications.
  • Perform basic scheduled and non-scheduled maintenance functions as required.
  • Provide excellent customer service.
  • Perform other duties as assigned.

Required Qualifications

  • 0–1 years of experience in a business, banking, operations, processing, administrative, or general office environment.
  • High School Diploma or equivalent work experience required.
  • Strong attention to detail and accuracy.
  • Ability to work effectively in a team environment.
  • Ability to adapt to new processes and changing priorities.
  • Ability to work under pressure and meet deadlines.
  • Proficiency with Microsoft Office applications.
  • Proficiency with 10-Key, with demonstrated speed and accuracy.
  • Ability to independently handle monetary and processing functions.
  • Ability to accurately manage high transaction volumes and meet production goals.
  • Effective verbal and written communication skills.
  • Good judgment and ability to recognize when issues should be escalated.
  • Ability to identify, assess, and appropriately escalate concerns.
  • Comfortable working across multiple computer systems and applications.
  • Basic understanding of banking policies, procedures, and government regulations.
  • Strong customer service and interpersonal skills.

Preferred Qualifications

  • College degree preferred.
  • Previous experience in banking, financial services, payment processing, lockbox, mail processing, data entry, or transaction processing is beneficial.
  • Experience handling checks, invoices, payment documents, or other financial transactions is beneficial.
