Administrative Assistant – Property Tax
Schedule:
Hybrid – approximately 3 days onsite / 2 days remote
Education:
High School Diploma or GED required
Position Summary
We are seeking an organized and customer-focused Administrative Assistant to provide day-to-day support for a busy district office. This position will handle a variety of administrative responsibilities including customer service, phone coverage, mail processing, data entry, document management, inventory tracking, and general office support.
The ideal candidate is highly organized, comfortable working across multiple computer systems, and able to manage several administrative tasks while maintaining accuracy and professionalism.
Key Responsibilities
- Provide customer service and respond to general inquiries
- Answer, screen, and route incoming district phone calls
- Process and distribute incoming and outgoing mail
- Monitor and distribute fax correspondence
- Maintain office supplies and employee equipment inventory
- Maintain contact lists, distribution lists, and correspondence directories
- Complete filing, data entry, and report tracking
- Request and coordinate delivery of boxed documents from Iron Mountain
- Prepare routine correspondence to external agencies
- Provide backup administrative support to other unit groups
- Scan, rename, organize, and electronically file documents
- Follow established file naming and document-management procedures
- Move and organize files between Microsoft and Google platforms
- Process and maintain Power of Attorney (POA) forms
- Mail forms, notices, and other correspondence
- Copy and prepare reference and training materials
- Review forms and documents for accuracy
- Verify Property Tax-related website links and materials
- Assist with developing and reviewing standard work procedures
- Complete additional administrative projects as assigned
Qualifications
- High School Diploma or GED
- Strong customer service and communication skills
- Previous administrative or clerical experience preferred
- Proficient with data entry and general computer applications
- Experience processing mail and maintaining electronic records
- Strong organizational and document-management skills
- Ability to maintain accurate inventory and office records
- Comfortable learning new systems and procedures
- Strong attention to detail
- Ability to prioritize multiple tasks and meet deadlines
- Comfortable working both independently and as part of a team
