Position Overview

We are seeking an experienced Project Coordinator to support large-scale infrastructure and manufacturing projects by partnering closely with Program Managers and cross-functional teams. This role is responsible for project administration, financial tracking, reporting, manufacturing progress monitoring, and project documentation to ensure projects remain on schedule and aligned with business objectives.

The ideal candidate has experience supporting complex manufacturing, construction, or infrastructure projects and is highly organized with strong analytical, communication, and project coordination skills.


Key Responsibilities

Project Coordination

  • Support Program Managers with day-to-day project coordination and ad hoc requests.
  • Assist with sales order management and issue resolution.
  • Set up and maintain project management and collaboration systems (such as Procore or similar platforms) for each project.
  • Support the development and standardization of project lifecycle processes and best practices.
  • Serve as a resource for Program Managers by maintaining project records, procedures, and documentation.

Project Reporting & Data Analysis

  • Perform data analysis to ensure system information accurately reflects manufacturing progress.
  • Assist in preparing, updating, and distributing project reports.
  • Gather and report financial KPI data to support project performance tracking.
  • Track project costs, budgets, revenues, and forecasts throughout the project lifecycle.

Financial & Sales Order Support

  • Monitor manufacturing progress to support accurate invoicing and revenue recognition.
  • Identify and resolve sales order accounting issues.
  • Track original, current, and forecasted project financial performance.
  • Support project finance activities and reporting.

Documentation & Compliance

  • Maintain accurate project documentation within designated project management systems.
  • Ensure project records are complete, organized, and uploaded according to company standards.
  • Identify documentation gaps and communicate areas requiring improvement.
  • Manage documentation workflows between internal departments to ensure compliance with established processes.

Communication & Collaboration

  • Establish effective communication with project teams, leadership, and customer representatives.
  • Identify project information that varies from established plans and communicate concerns to the Program Manager for resolution.
  • Coordinate project finance meetings, schedule attendees, and resolve scheduling conflicts.
  • Maintain and communicate project team and stakeholder holiday schedules to assist with resource planning.

Required Qualifications

  • Minimum of 5 years of experience in project coordination, manufacturing, construction, or project management.
  • Experience supporting complex, cross-functional projects.
  • Strong analytical and organizational skills.
  • Excellent written and verbal communication skills.
  • Ability to prioritize multiple tasks and meet deadlines in a fast-paced environment.
  • Strong customer service and relationship management skills.

Technical Skills

  • Advanced proficiency in:
    • Microsoft Excel
    • Microsoft Word
    • Microsoft PowerPoint
    • Microsoft Outlook
    • SharePoint
  • Experience with ERP and/or CRM systems.
  • Experience using project management software such as Procore or similar platforms.

Preferred Qualifications

  • Experience with Smartsheet administration or configuration.
  • Power BI experience.
  • Manufacturing, construction, infrastructure, or data center project experience.
  • Experience supporting project financial reporting, budgeting, forecasting, and revenue recognition.
