Project Coordinator / Project Management Support
Job Summary
We are seeking an experienced Project Coordinator to support the Project Management team by coordinating engineering projects, maintaining project documentation, tracking project progress, and serving as a liaison between internal teams and customers. This role requires strong organizational, communication, and administrative skills in a manufacturing, engineering, or construction environment.
Key Responsibilities
- Document meeting minutes, action items, and ensure timely follow-up through completion.
- Maintain project tracking tools and ensure new projects and key milestones are accurately documented.
- Compile and distribute recurring project reports focused on financial, product, and regional KPIs.
- Prepare customer-facing reports to communicate project status, progress, and forecasts.
- Maintain project plans and ensure they accurately reflect current project status.
- Provide administrative and coordination support for engineering project management processes.
- Generate and submit project documentation, including:
- Technical Submittals
- Test Documentation
- Operations & Maintenance (O&M) Manuals
- Bills of Lading (BOLs)
- Shipping Logs
- Additional project documentation as required
- Coordinate with internal and external stakeholders, including clients, production, logistics, field service, site teams, and accounting, to ensure successful project execution and product delivery.
- Coordinate field activities with production and field service teams.
- Perform other related duties as assigned.
Required Qualifications
- 5–7 years of experience in project coordination, project management, manufacturing, engineering, or construction environments.
- Advanced proficiency with Microsoft Office Suite, including:
- Word
- Excel
- PowerPoint
- Outlook
- SharePoint
- Strong organizational, planning, and prioritization skills.
- Excellent written and verbal communication skills.
- Strong customer service skills.
- Excellent project coordination and project management abilities.
- Strong analytical, organizational, and interpersonal skills.
- High attention to detail with the ability to manage multiple priorities.
Preferred Qualifications
- Experience working with ERP and/or CRM systems.
- Knowledge of Smartsheet and Power BI.
- Experience supporting engineering or manufacturing projects.
- Knowledge of construction, electrical, or mechanical contracting.
- Familiarity with engineering and manufacturing processes.
- Knowledge of data center infrastructure and commissioning processes is a plus.
