We're looking for a detail-oriented Project Assistant to support automotive production and launch projects. In this role, you'll help keep projects organized by maintaining documentation, tracking inventory and materials, preparing shipping paperwork, and supporting the Project Coordinator with day-to-day administrative tasks. This is a great opportunity for someone who enjoys organization, works well in a fast-paced environment, and has strong attention to detail.
Responsibilities
- Provide administrative support for multiple automotive projects.
- Create, organize, and maintain project documents, trackers, and shared files.
- Keep inventory, material status, and traceability records up to date.
- Prepare and verify labels, packing lists, shipping documents, and other required paperwork.
- Enter and update project information in Excel and company systems.
- Assist with meeting preparation, record meeting notes, and track action items.
- Follow up on outstanding tasks, missing information, and documentation requests.
- Support material, prototype, sample, and shipment coordination.
- Assist with project status reports, KPI updates, and customer documentation.
- Communicate with internal departments, suppliers, and customers as needed.
- Help improve tracking spreadsheets, forms, and administrative processes.
- Perform other duties as assigned.
Qualifications
- High school diploma or GED required.
- Associate degree or additional education in business, logistics, or a technical field is a plus.
- Previous experience in administrative support, project coordination, manufacturing, logistics, shipping, inventory, or data entry is preferred.
- Strong entry-level candidates with excellent organizational skills will be considered.
- Excellent attention to detail and accuracy.
- Ability to manage multiple tasks and meet deadlines.
- Strong communication and organizational skills.
- Proficient in Microsoft Excel, Word, and Outlook.
Preferred Experience
- Automotive manufacturing or Tier 1/Tier 2 supplier experience.
- Experience with inventory tracking, traceability, shipping documents, packing lists, or labeling.
- Intermediate Excel skills, including formulas, sorting, filtering, and maintaining spreadsheets.
- Experience supporting multiple projects or departments at the same time.
Work Environment
- On-site position in Toledo, OH.
- Monday–Friday, 8:00 AM–5:00 PM with overtime as needed.
- Occasional travel to customer, supplier, warehouse, or company locations may be required.
- Combination of office work and time spent supporting production or shipping operations while following all safety requirements.
