Position Overview
We are seeking an experienced Payroll Tax Manager to oversee all payroll tax activities within the Payroll Operations team, including support for mergers and acquisitions. This role partners closely with Payroll Leadership, Accounting, Treasury, and external managed service providers to ensure payroll tax compliance, reporting accuracy, reconciliations, and timely tax filings across multiple federal, state, and local jurisdictions.
The ideal candidate will have extensive payroll tax expertise, strong analytical skills, and experience managing complex payroll tax compliance in a large, multi-state organization.
Key Responsibilities
Payroll Tax Management
- Serve as the subject matter expert for Payroll Tax, State Unemployment, Workers' Compensation, and Escheatment.
- Oversee payroll tax administration across multiple federal entities, state jurisdictions, and local tax jurisdictions.
- Ensure payroll tax funding, reporting, and filings are completed accurately and on time.
- Research and resolve payroll tax discrepancies, including overpayments, underpayments, refunds, credits, and tax notices.
- Manage payroll tax account registrations and maintenance.
Financial Reporting & Reconciliation
- Support Corporate Accounting with payroll tax and General Ledger reconciliations.
- Produce payroll tax reports and ad hoc reporting for business leaders.
- Review payroll schedules and validate payroll tax reporting.
- Assist with payroll tax integration for acquisitions and business mergers.
- Generate monthly, quarterly, and annual payroll tax reporting.
Compliance & Audit
- Ensure compliance with all federal, state, and local payroll tax regulations.
- Review quarterly and annual W-2 filings and validate wage type mapping.
- Stay current on payroll tax legislation and implement required system updates.
- Support internal and external audits by providing accurate documentation.
- Ensure SOX compliance, confidentiality, data privacy, and security standards are maintained.
Cross-Functional Collaboration
- Partner with Accounting, Treasury, HR, Payroll, and external payroll service providers.
- Support payroll funding activities and escheatment processes.
- Collaborate with stakeholders to identify reporting requirements and resolve payroll tax issues.
- Provide exceptional customer service to internal and external business partners.
- Participate in special projects and continuous process improvement initiatives.
Required Qualifications
- Bachelor's degree in Finance, Accounting, Business, or a related field preferred.
- Extensive experience managing multi-state payroll tax operations.
- Strong knowledge of:
- Federal payroll tax regulations
- State and local payroll taxes
- State Unemployment Insurance (SUI)
- Workers' Compensation
- Escheatment
- Experience supporting payroll tax activities related to mergers and acquisitions.
- Experience with payroll tax reconciliations and General Ledger support.
- Strong analytical, problem-solving, and organizational skills.
- Excellent written and verbal communication skills.
- Ability to manage multiple priorities and meet critical deadlines.
Preferred Qualifications
- Experience working with large, multi-entity organizations.
- Experience partnering with managed payroll service providers.
- Knowledge of SOX compliance and internal controls.
- Experience with payroll reporting, tax registrations, and payroll system implementations.
- Advanced Microsoft Excel skills.
