Payroll Tax Analyst

Job Summary

The Payroll Tax Analyst is responsible for ensuring accurate and compliant payroll tax processing for U.S. multi-state and international payroll operations. This role oversees payroll tax compliance, filings, reconciliations, audits, issue resolution, and legislative updates while partnering with cross-functional teams to ensure payroll accuracy and regulatory compliance. The ideal candidate has strong payroll tax expertise, experience with ADP and Workday, and the ability to manage complex payroll tax matters in a fast-paced environment.

Key Responsibilities

  • Process payroll using ADP Workforce Now (WFN), SmartCompliance, and Workday.
  • Manage all aspects of multi-state and international payroll tax compliance.
  • Prepare, review, and submit federal, state, and local payroll tax filings accurately and on time.
  • Reconcile payroll tax liability accounts and payroll general ledger accounts on a monthly, quarterly, and annual basis.
  • Research, investigate, and resolve payroll tax issues, agency notices, and tax discrepancies.
  • Audit payroll tax data, W-2s, and other year-end reporting to ensure compliance and accuracy.
  • Calculate and process retroactive tax adjustments and prepare amended tax forms (W-2Cs) as required.
  • Monitor changes in federal, state, local, and international payroll tax legislation and implement necessary system and process updates.
  • Identify opportunities for process improvements and leverage technology to improve payroll tax efficiency and data management.
  • Develop and maintain payroll tax procedures and standard operating procedures (SOPs).
  • Collaborate with Payroll, HR, Finance, Accounting, and external agencies to ensure accurate payroll tax processing and compliance.
  • Support internal, external, and government payroll tax audits by maintaining comprehensive documentation.

Required Qualifications

  • Experience processing payroll using:
    • ADP Workforce Now (WFN)
    • ADP SmartCompliance
    • Workday
  • Strong knowledge of multi-state payroll tax compliance.
  • Experience with payroll tax reconciliations and payroll accounting.
  • Experience preparing and filing federal, state, and local payroll tax returns.
  • Knowledge of year-end payroll tax reporting, including W-2s and W-2C corrections.
  • Experience resolving payroll tax agency notices and compliance issues.
  • Strong analytical, research, and problem-solving skills.
  • Excellent organizational skills with strong attention to detail.
  • Ability to manage multiple priorities and meet strict deadlines.
  • Strong communication and cross-functional collaboration skills.

Preferred Qualifications

  • International payroll tax experience.
  • Experience improving payroll tax processes and implementing system enhancements.
  • Knowledge of payroll tax legislation and regulatory compliance.
  • Experience supporting internal and external payroll audits.

  • Complete and organized audit documentation for internal, external, and government audits.

  • Successful implementation of payroll system updates and documented standard operating procedures.
  • Accurate and timely preparation and distribution of year-end tax forms, including W-2s and related tax documents.
