Position Summary
The Payroll Specialist plays a critical role on the Corporate Payroll team in a fast-paced, customer service-driven environment. This position partners with employees and management across all levels of the organization while maintaining a high level of confidentiality and operational excellence. The ideal candidate will demonstrate strong attention to detail, excellent customer service, and the ability to manage payroll processes accurately and efficiently.
Key Responsibilities
- Process U.S. and Canadian payroll accurately and on time.
- Investigate and resolve payroll processing errors.
- Ensure compliance with payroll policies, regulations, and internal procedures.
- Communicate effectively with local management to ensure accurate payroll processing.
- Identify opportunities for process improvements and support continuous improvement initiatives.
- Complete and balance payroll reconciliations accurately and timely.
- Prepare and process payroll tax documentation, including:
- Form 941
- W-2
- T4
- Other required tax forms
- Maintain payroll data securely and in compliance with company policies.
- Develop and maintain payroll documentation, including process manuals and SOPs.
- Provide timely, accurate, and professional support to employees regarding payroll inquiries.
- Serve as a backup processor for U.S. and Canadian non-exempt payrolls.
- Collaborate with cross-functional teams to deliver exceptional customer service.
- Assist with special projects and reporting as assigned.
Qualifications
- Minimum of 3 years of general office or accounting experience.
- Payroll experience preferred.
- Associate's or Bachelor's degree preferred, or equivalent work experience.
- Intermediate knowledge of accounting principles and mathematical calculations.
- Strong analytical and problem-solving skills.
- Excellent attention to detail and ability to identify discrepancies.
- Strong written and verbal communication skills.
- Ability to work independently and collaboratively in a team environment.
- Excellent organizational, time management, and multitasking skills.
- Ability to prioritize work and meet deadlines in a fast-paced environment.
- Strong customer service mindset.
- Comfortable making timely and well-informed decisions.
- Experience with IBM (CICS & IMS) and MDM systems is preferred.
- Proficient in Microsoft Word, Excel, and Outlook.
