Purchase maintenance parts, equipment, and repair items. Maintain parts room inventory and coordinate with the Planner Scheduler to have parts on hand when needed.
MAJOR RESPONSIBILITIES:
Responsible for Inventory Cycle Count (min-max levels, label incoming parts-supplies). verify the accuracy and functionality of parts tracking within SAP.
Perform a count of 250-500 parts every month with the goal of counting every part within the parts room at least once per year.
Monitors and adjusts ordering levels and frequencies to minimize dead inventory and over inventory of items- Keep parts accurately tagged. All parts will be stored in bin with a specific part number. When parts arrive, they are added to inventory via the receiving process. When mechanics use parts, they are removed via the Work order process. Sometimes manual adjustments are required to maintain accuracy.
Add new parts to the SAP system by creating and assigning a part number-
Identifying and removing old, unused, obsolete parts from the system
Coordinate with the Maintenance Team Leads and the Maintenance Planner Scheduler to have the needed parts in stock when needed for scheduled PMs.
Use SAP as necessary in conjunction with Fiori.
Match purchase orders, receipts (MIGO GR)- Collect packages from warehouse or reception area.
Identify the PO, look up the order with the PO in ariba or SAP. Use notes to figure out where or to whom the package goes.
Preform the actual receipt of the item and record the receipt or good receipt number (GRN) Notify the person or group of the parts arrival via email.
Responsible for tracking and follow up on all parts and materials sent to outside service for rebuilding or machining from various outside services.
Provides technical assistance for parts identification, technical paperwork, and scheduling of knowledgeable vendors to assist maintenance, facility, automation, and project staff as needed.
Coordinates all shipping and receiving efforts for the Maintenance Department.
Assists the warehouse as needed when receiving all maintenance parts, bulk, or large parts orders.
Calls and Follow-up on all outstanding open purchase orders before month end close. Cancel orders, void purchase orders, and remove all outstanding orders from the system as to not allow orders to go for longer than 1 month without parts received or purchase cancelled.
Contact vendors to get quotes for needed parts. You will be given a list of different vendors who specialize in a specific type of part and from that list you will decide who will be the best supplier based on price, lead time, and quality of service.
Parts storage bins have a Min and Max quantity, and it will be your duty to maintain that quantity of parts within those bins.
Use of the Parts Ordering book system for unique requests from the maintenance team. This system will provide you with information about a part and you will request a quote from one, or more, of the vendors on your list to fulfil the order from your team.
Checks lubricant levels and ensures all SDS are obtained for records.
Maintains 6s program in Parts Room, Maintenance Shop, Compressor Room, Chemical Room, and Yale Warehouse. 6s (Sort, set in place, Shine, Standardize, Sustain, Safety) is a set of principles that should regulate your work area. Become an expert on this, use it to move, adjust, set up, and maintain your work area.
Refilling parts bins- Cycle counting and daily inspection of parts bins will help you identify what needs to be quoted and refilled.
The duty of placing an order and receiving must be separated as per corporate policy, however it will be your responsibility as the receiver to advise on what is needed (i.e., specific requests from team, or low bin stock refills)
General Cleanliness, sweeping, moping, trash removal

Must have High School education or equivalent and 3 to 5 years experience in a parts ordering and inventory control position.
Must have excellent communication skills, both written and verbal (Bilingual)
Must have the desire and ability to operate as a member of a Self-Directed work team.
Have an awareness of and the ability to follow Associate Safety guidelines.
Have an awareness of and the ability to follow GMP and Food Safety guidelines.
Must have the ability to work in and contribute to Production Improvement, Associate Involvement and Temporary Teams, as assigned.
Must be able to multi-task.
Excellent computer skills and experience in extracting and analyzing data using information systems reporting tools such as Excel. Efficient with all Microsoft Office products. Experience using SAP
