RESPONSIBILITIES
Employee Support & HR Office Administration
- Serve as the first point of contact for employees or visitors entering the Human Resources office.
- Direct employees to the appropriate HR, Payroll, Benefits, Safety, or Operations resource based on the nature of their inquiry.
- Respond to routine employee questions regarding attendance, PTO balances, payroll concerns, benefits, and company policies.
- Assist employees with Okta account activation, multi-factor authentication, password resets, ADP access, and electronic pay stub retrieval.
- Submit employee information change requests, including address, tax withholding, and emergency contact updates.
- Maintain and distribute employee communications, postings, announcements, and policy notices.
- Assist employees with internal job posting and application processes.
- Maintain confidentiality when handling employee information and personnel records.
I-9 Compliance & New Hire Administration
- Coordinate and facilitate Form I-9 completion and employment eligibility verification for all new hires.
- Review I-9 documentation for completeness, accuracy, and compliance with federal requirements.
- Track outstanding I-9 requirements and follow up with employees and hiring teams to ensure timely completion.
- Assist with E-Verify processing and related employment authorization activities, as applicable.
- Maintain onboarding records and ensure required employment documents are properly completed and retained.
Timekeeping & Attendance Administration
- Review employee timecards daily to ensure accuracy and policy compliance.
- Correct timekeeping exceptions and work with supervisors to resolve discrepancies.
- Enter employee absences, attendance adjustments, and other timekeeping transactions.
- Audit attendance records and identify missing punches, coding errors, and inconsistencies.
- Compare absence records against approved FMLA, leave of absence, military leave, jury duty, and other protected leave records to ensure accurate coding.
- Enter and maintain training hours, certification hours, and other non-productive labor coding as required.
- Coordinate with Payroll, Human Resources, and supervisors to resolve timekeeping and attendance issues.
- Run and distribute attendance, absence, and timekeeping reports as needed.
- Maintain accurate workforce records related to attendance and leave administration.
Workforce Administration & Reporting
- Maintain workforce records and employee documentation in accordance with company policies and procedures.
- Assist with employee separations and workforce status changes through established administrative processes.
- Prepare workforce reports and administrative metrics as requested.
- Support audits related to timekeeping, employee records, onboarding, and compliance activities.
- Assist with special projects and workforce administration initiatives.
QUALIFICATIONS
Education & Experience
- High school diploma or GED required.
- Associate degree in Human Resources, Business Administration, Accounting, or a related field preferred.
- Two to four years of experience in Human Resources, payroll administration, workforce administration, employee support, or a related field preferred.
- Experience working in a manufacturing or industrial environment preferred.
- Experience using HRIS, payroll, timekeeping, or workforce management systems preferred.
Knowledge, Skills & Abilities
- Strong customer service orientation and interpersonal skills.
- Ability to communicate effectively with employees, supervisors, and cross-functional partners.
- Strong attention to detail and ability to identify discrepancies in records and data.
- Ability to maintain confidentiality and handle sensitive information with discretion.
- Strong organizational and time management skills.
- Proficiency in Microsoft Outlook, Excel, Word, and Teams.
- Ability to learn and utilize HRIS, payroll, and timekeeping systems.
- Working knowledge of attendance, payroll, leave administration, and onboarding processes preferred.
- Knowledge of Form I-9 requirements and employment documentation practices strongly preferred.
PHYSICAL & ENVIRONMENTAL REQUIREMENTS
- Ability to sit, stand, and walk throughout the workday.
- Frequent use of computers, telephones, and standard office equipment.
- Ability to occasionally lift, carry, push, or pull up to 20 pounds.
- Ability to move throughout the facility to support employees and workforce administration activities.
- Work is performed primarily in an office environment with regular interaction in manufacturing areas.
- Exposure to manufacturing operations, including varying temperatures, noise levels, and production activity.
- Required use of personal protective equipment (PPE) when entering designated production areas.
- Standard work schedule of Monday through Friday, 8:00 a.m. to 5:00 p.m.
