Human Resources Assistant

Position Summary

The Human Resources Assistant provides administrative and operational support to the Human Resources department. This role assists with recruiting, onboarding, employee records management, HR reporting, employee communications, and various HR programs and events. The ideal candidate will be highly organized, detail-oriented, and capable of handling confidential information while supporting employees and management in a fast-paced environment.

Key Responsibilities

Human Resources Administration

  • Provide administrative support for Human Resources activities, including hiring, recall orientation, bid sheet job postings, staffing reports, and monthly turnover reporting.
  • Schedule interviews, drug screenings, reference checks, and candidate travel arrangements.
  • Support recruiting activities and applicant tracking efforts.
  • Respond to candidate and employee status inquiries in a timely manner.
  • Assist with staffing-related follow-up activities.

Employee Records & HRIS Management

  • Maintain and update electronic and paper personnel records.
  • Process and record employee information, including:
    • Personal data
    • Compensation changes
    • Benefits information
    • Tax documentation
    • Attendance records
    • Performance reviews and evaluations
    • Termination details
  • Process employee status changes such as:
    • Address changes
    • Department transfers
    • Pay rate adjustments
    • Terminations
  • Enter and maintain employee information within the HRIS system.
  • Track absenteeism and hourly employee termination data.

Recruiting & Employment Support

  • Process employment applications and assist with hiring activities.
  • Coordinate internal job posting processes and employee referral bonus programs.
  • Support temporary staffing programs and monthly temporary labor billing reconciliation.
  • Coordinate recruiting initiatives, including:
    • Temporary staffing programs
    • Contract staffing
    • Summer employment programs
    • Co-op programs
    • Internship programs

Employee Relations & Communication

  • Serve as a liaison between hourly and salaried employees regarding company policies, procedures, and HR-related matters.
  • Provide guidance on Human Resources policies and practices.
  • Maintain and distribute employee communications, policy manuals, and procedural documentation.
  • Respond to authorized requests for employee information while maintaining confidentiality.
  • Promote understanding of company expectations and policies to support employee engagement and operational efficiency.

Administrative Support

  • Perform a variety of clerical and administrative duties for assigned managers.
  • Provide office phone coverage and support daily office operations.
  • Handle incoming and outgoing mail distribution.
  • Compile reports and assist with budget reconciliation activities.
  • Process invoices and purchase-related documentation.

Employee Programs & Special Events

  • Coordinate employee programs and special events, including:
    • Scholarship programs
    • Employee appreciation events
    • Recognition and awards programs
    • Company-sponsored celebrations
  • Support additional HR projects and initiatives as assigned.

Additional Responsibilities

  • Handle sensitive and confidential information in accordance with company policies and procedures.
  • Perform other related duties and special projects as assigned.

Qualifications

Required Qualifications

  • Minimum of 1 year of administrative or Human Resources experience.
  • Strong proficiency with Microsoft Office applications, including:
    • Word
    • Excel
    • Outlook
  • Excellent organizational and time management skills.
  • Ability to manage multiple priorities and meet deadlines in a fast-paced environment.
  • Strong verbal, written, and interpersonal communication skills.
  • Ability to maintain confidentiality and handle sensitive information appropriately.
  • Demonstrated attention to detail and accuracy.
  • Strong customer service and employee support skills.

Preferred Qualifications

  • Previous Human Resources support experience.
  • Prior experience within a manufacturing or corporate environment.
  • Experience working with HRIS systems.
  • Familiarity with recruiting, onboarding, employee records management, and HR reporting.
