HR Administrative Assistant
Position Overview
We are seeking a detail-oriented and organized HR Administrative Assistant to support the Human Resources department with employee records management, document processing, employee communications, and administrative projects. This role requires strong organizational skills, attention to detail, and the ability to maintain confidentiality while supporting a variety of HR-related functions.
Key Responsibilities
Employee Records & Documentation
- Scan and digitize hard-copy employee personnel records.
- Create and maintain electronic employee files, including:
- Onboarding documentation
- Performance reviews
- Confidentiality agreements
- Payroll-related records
- Ensure employee records are organized, accurate, and maintained in accordance with company policies.
Administrative Support
- Manage employee communication boards and company notices.
- Assist with HR administrative functions and special projects.
- Support document filing, data entry, recordkeeping, and general office administration.
- Complete miscellaneous tasks and assignments as requested by the HR team.
Project Support
- Assist with special HR initiatives, including:
- Termination file shredding projects
- Employee engagement activities
- Records management projects
- Support department objectives through timely completion of assigned projects.
Qualifications
Required Qualifications
- Minimum of 2–4 years of experience in an Administrative Assistant or related administrative support role.
- Proficiency with Microsoft Office Suite, including:
- Word
- Excel
- PowerPoint
- Outlook
- Excellent organizational and time management skills.
- Strong verbal and written communication abilities.
- Ability to prioritize multiple tasks and meet deadlines.
- Strong interpersonal skills with the ability to work effectively in a team environment.
- Ability to handle confidential information with professionalism and discretion.
- Ability to work independently with minimal supervision.
Preferred Qualifications
- High School Diploma or GED.
- Familiarity with office procedures and administrative best practices.
- Working knowledge of office equipment and document management processes.
- Fast and accurate typing skills.
- Experience taking notes, maintaining documentation, and managing records.
Physical Requirements
- Ability to sit for extended periods of time.
- Manual dexterity and hand/finger coordination required for filing, scanning, typing, and document management activities.
