Human Resources Assistant
Schedule:
Monday – Friday, 8:00 AM – 5:00 PM
Position Overview
We are seeking a Human Resources Assistant to support the HR department with a variety of administrative and recruiting functions. This position plays a key role in the hiring and onboarding process while providing excellent support to employees, candidates, and internal management. The ideal candidate is highly organized, detail-oriented, and able to manage multiple priorities in a fast-paced environment.
Key Responsibilities
Recruiting & Onboarding
- Serve as the primary liaison with the company's managed staffing vendor.
- Coordinate job postings, interview scheduling, employment offers, and pre-employment activities.
- Assist with new hire onboarding, including:
- Employee portal (OKTA) activation and login assistance
- HRIS orientation
- Collection of employee identification documents
- I-9 and E-Verify processing
- Facilitate New Hire Orientation as needed.
- Communicate with candidates throughout each stage of the hiring process.
- Support employee conversion onboarding activities.
Human Resources Administration
- Process daily HR-related mail, payroll deductions, reimbursements, and service desk requests.
- Create, maintain, and organize employee personnel files.
- Maintain HR databases and employee records.
- Update required workplace posters and company signage.
- Track and maintain new hire survey results and attendance records.
- Initiate HR communications with internal management.
Employee Support
- Assist employees with OKTA password resets and employee portal access.
- Answer employee questions regarding benefits and company policies.
- Support employee engagement initiatives and activities.
- Provide general HR support and assist with special projects as assigned.
Qualifications
- Associate degree, some college coursework, or equivalent work experience.
- 1–3 years of experience in:
- Human Resources
- Customer Service
- Data Entry
- Strong interpersonal, communication, and organizational skills.
- Proficiency with Microsoft Office applications.
- Ability to quickly learn new HR software and computer systems.
- Strong attention to detail and ability to handle confidential information professionally.
