HR & Administrative Coordinator
Schedule:
Monday–Friday, approximately 7:00 AM–4:00 PM

Position Summary
The HR & Administrative Coordinator provides comprehensive human resources, administrative, payroll, document control, and safety support within a manufacturing facility. This position serves as a key point of contact for employees, new hires, visitors, vendors, and site leadership.
The ideal candidate has prior experience working in a manufacturing office environment, strong communication and organizational skills, and the ability to work independently while managing multiple priorities.
Required Qualifications
- 2–3 years of experience working in a manufacturing office environment.
- Strong written and verbal communication skills.
- Ability to work independently with limited supervision.
- Strong knowledge of Microsoft Office and other PC applications.
- Strong Microsoft Excel and PowerPoint skills preferred.
- SAP experience preferred.
- Strong organizational skills and attention to detail.
- Ability to manage multiple priorities in a fast-paced environment.
Human Resources Responsibilities – 30%
- Support compliance with AIMS, ISO 9001, ISO 45001, and applicable company policies and standards.
- Coordinate pre-hire requirements and the new-hire onboarding process.
- Coordinate onsite interviews for prospective employees.
- Support new-hire orientation and onboarding activities.
- Arrange pre-employment testing and screenings.
- Coordinate employee IDs, uniforms, lockers, computer access, email, software, workspaces, and office supplies.
- Set up hourly employees within the biometric timekeeping system.
- Provide ongoing administrative support to new employees to ensure a smooth transition into their assignments.
- Assist employees with benefits enrollment, direct deposit, tax forms, and other HR-related documentation.
- Maintain and coordinate HR audit documentation to support internal policies and regulatory compliance.
- Coordinate people-related reporting and site initiatives.
- Coordinate community relations and employee engagement events.
- Serve as the site's Wellness Champion.
- Coordinate documentation for the tuition reimbursement program.
- Provide administrative support related to HR vendors.
- Provide administrative support for internal and external social media communications.
- Serve as the first point of contact for employee HR questions and partner closely with regional HR leadership.
- Process biweekly payroll for hourly and salaried non-exempt employees.
- Maintain HR data and prepare reports using SAP HRMS.
- Maintain employee HR files, including I-9 and E-Verify documentation.
Administrative Responsibilities – 35%
- Support SAP requisitioning and invoice processing across the site.
- Prepare and release blanket and individual requisitions through SAP.
- Order miscellaneous supplies for plant and maintenance operations using established purchasing processes.
- Provide general administrative support to office personnel and site leadership.
- Coordinate plant meetings, site functions, facilities, and catering.
- Serve as the site's Document Control Administrator.
- Maintain documentation within SharePoint, electronic document management systems, shared drives, and physical document libraries.
- Arrange meals and catering for training classes, meetings, and special events.
- Document weekly, monthly, and other site team meetings.
- Serve as the first point of contact for customers, visitors, contractors, solicitors, and incoming calls.
- Coordinate small capital projects involving office and site renovations or upgrades.
- Manage site visitors and provide required safety training when designated safety personnel are unavailable.
Health, Safety & Environmental Responsibilities – 25%
- Serve as the primary backup to site Health, Environmental, Safety, and Quality personnel.
- Conduct and document weekly inspections of designated hazardous waste areas and safety equipment.
- Inspect eyewash stations, safety showers, emergency equipment, shelter supplies, and spill kits.
- Perform monthly inspections and restocking of first aid kits.
- Conduct and document monthly inspections of AEDs and fire extinguishers.
- Maintain inventories of PPE and other safety supplies.
- Support site compliance with established environmental, health, and safety procedures.
Additional Responsibilities – 10%
- Complete special projects and miscellaneous assignments as requested by department and site leadership.
- Provide cross-functional administrative support as business needs arise.
