This role is responsible for supporting the day-to-day administrative functions of the rental fleet, helping ensure accurate tracking of rental assets, timely documentation, and efficient record management. The ideal candidate is highly organized, detail-oriented, and capable of managing multiple tasks while maintaining a high level of accuracy.
Duties/Responsibilities
- Provide administrative support to Fleet Rental Asset Coordinators.
- Enter new rental assets into the Vista system and maintain accurate asset information.
- Organize and maintain electronic and physical rental asset records and documentation.
- Update rental asset information, including status changes, assignments, and supporting documentation.
- Review records for completeness and accuracy, correcting discrepancies as needed.
- Assist with tracking rental equipment throughout its lifecycle.
- Coordinate and maintain digital filing systems for rental agreements, purchase documentation, titles, registrations, warranties, and other related records.
- Generate reports and provide administrative data support as requested.
- Communicate with internal departments to obtain or verify asset information.
- Ensure data integrity and consistency within fleet management systems.
- Support inventory audits and asset reconciliation activities.
- Perform other administrative duties and special projects as assigned.
Qualifications
- High school diploma or equivalent required.
- Associate degree in Business Administration, Logistics, or a related field preferred but not required.
- One to three years of administrative experience, preferably supporting fleet, equipment, rental, transportation, or asset management operations.
- Experience working with enterprise software systems such as Vista or similar ERP/fleet management systems is preferred.
- Basic knowledge of fleet or rental asset tracking processes is preferred.
- Excellent organizational and time management skills.
- Strong attention to detail and accuracy.
- Proficient in Microsoft Office Suite, including Excel, Outlook, and Word.
- Ability to learn and effectively use Vista and other company software systems.
- Strong written and verbal communication skills.
- Ability to prioritize multiple assignments in a fast-paced environment.
- Ability to work independently as well as collaboratively within a team.
- Strong problem-solving and critical-thinking skills.
- Professional demeanor with a customer service mindset.
Travel
