File Assistant
Position Overview
We are seeking a detail-oriented and organized File Assistant to support the Finance team in maintaining accurate, organized, and secure financial records.
This position will be responsible for logging, organizing, filing, and boxing financial documents to ensure records are easily retrievable and maintained in accordance with internal policies and regulatory requirements.
The File Assistant will work closely with the bookkeeper, accountant, and Finance team to support day-to-day financial and administrative operations.

Key Responsibilities
File & Records Management
-
Log, file, and organize financial documents, including:
-
Invoices
-
Receipts
-
Bank statements
-
Ledgers
-
Financial reports
-
-
Maintain an organized filing system to ensure documents can be easily located and retrieved.

Prepare and box financial records according to established company standards.
-
Properly label, index, and organize boxed records for secure storage.
-
Maintain accurate and up-to-date financial records related to purchases, sales, payments, and receipts.
Data Entry & Financial Support
-
Enter and update financial information within company databases and/or accounting systems.

Review records for completeness and accuracy.
-
Support the Finance team with general recordkeeping and documentation needs.
Administrative Support

Scan, copy, file, and bind financial documents as needed.

Assist with other administrative and clerical responsibilities supporting the Finance team.

Maintain confidentiality when handling financial and business information.
Compliance & Audit Support
-
Ensure financial files and records are maintained in accordance with internal policies and applicable financial regulations.

Assist with audit preparation by organizing and retrieving requested documentation.

Provide financial records and supporting documents as needed during audits.
Required Qualifications
-
High school diploma or equivalent required.
-
Associate degree in Accounting, Finance, Business, or a related field preferred.

Previous experience in a finance, accounting, records management, filing, or administrative support position.

Strong attention to detail and organizational skills.
-
Ability to accurately maintain and organize large volumes of documentation.

Ability to work independently as well as collaboratively within a team environment.

Proficiency with Microsoft Office, including:

Microsoft Excel

Microsoft Word
-
Microsoft Outlook
-

Basic understanding of accounting principles and financial records.

Ability to handle confidential and sensitive financial information appropriately.
